Import revenue transactions into NonprofitCore using Foundant's import tool. The multi-step process for importing includes the following:
- Use Excel to create a revenue import file.
- Compare and associate profiles on the revenue import file to those already in NonprofitCore.
- Add any new profiles to NonprofitCore that are associated with revenue to import.
- Import revenue into Accounting.
Create a Revenue Import File
The image below is an example of a revenue import file. Accounting: Standard Fields for Import provides detailed guidance on what is required and what is optional when creating a revenue import file. For learning purposes, this file will be referred to as the revenues file.

It is recommended that all revenue entries are marked FALSE within the Historical column. Marking entries TRUE is typically only used during migrations.
Compare and Associate Profiles
To successfully import revenue, profiles associated with the imported revenue must already exist within NonprofitCore. Follow the steps below to compare and associate profiles.
- Create an exported profiles csv file.
- Format revenue entry profiles to match the exported NonprofitCore profiles.
- Compare and associate revenue entry profiles to NonprofitCore profiles.
- Filter the revenue import file by new profiles, if necessary.
Create an Exported Profiles CSV File
- Navigate to CRM and click Profiles on the navigation bar.
- Check the box at the top of the Profiles page to select all profiles for export.
- To view specific profiles, apply filters at the top of the page before selecting the profiles to export.

- Click the Actions drop-down, and then click Export Profiles.

- The exported profiles will download as a csv file on your computer.

- The csv file will include profile ID and any other fields that are visible in the configured columns.

Format Revenue Entry Profiles to Match NonprofitCore Profiles
For this step, use the revenues file created earlier.
- Locate the First Name and Last Name columns in the revenues file. Insert a column to the left of the Organization column, and then name the new column Full Name.
- Use the IF function to combine First Name and Last Name columns into the Full Name column.

Compare and Associate Revenue Entry Profiles to NonprofitCore Profiles
For this step, the revenues file and profiles file will be used.
- Locate the Profile GUID column in the revenues file.
- Use the VLookUp function within the Profile GUID column of the revenues file and associate it with the Name and Profile ID columns within your profiles file.
- After VLookUp is applied, any profiles in the revenues file that match profiles in the profiles file will have a profile ID appear in the Profile GUID column of the revenues file.
- Profiles in the revenues file that do not match profiles in the profiles file will have a value of #N/A within the Profile GUID column.

The VLookUp will show #N/A if the profile name is not an exact match. Check for spaces before or after the profile name, spelling, or abbreviations.
Filter Revenue Import Template by Profile GUID
For this step, use the revenues file.
- Filter the revenues file by the Profile GUID column.
- Remember, profiles in the revenues file that do not match profiles in the profiles file will have a value of #N/A.
- Filter data in a range or table provides detailed guidance on filtering data in Excel.
- The revenues file should now display the data with existing profiles and new profiles grouped together, as shown below.
Add New Profiles to NonprofitCore
To ensure a successful import, it's imperative that all profiles associated with imported revenue are already in NonprofitCore. There are two methods by which to add new profiles into NonprofitCore that include the following:
- Manually enter new profile information into NonprofitCore.
- Import profiles using Foundant's import tool.
Manually Enter Profile Information
- Using the revenues file, locate the profiles with #N/A values in the Profile GUID column.
- Manually enter the new profile name and email, one at a time, into NonprofitCore.
- Create a Profile provides detailed instructions for adding new profiles.
Import Profiles
- Follow step 1 from above.
- Copy cells that contain the new profile information and paste those into a new spreadsheet.
- This new spreadsheet will be the excel file you will use to import the new profiles.
- CRM: Standard Fields for Import provides detailed guidance on what fields are required and options for importing profiles as well as examples of how to format the excel file.

Do not remove the new profile information cells from the revenues file since the profile information will still be needed for the revenue import.
- Import the new profiles into NonprofitCore using Foundant's Import Tool.

Once the revenues file contains all necessary information and new profiles have been identified and added to NonprofitCore, import your revenue entries using Foundant's Import Tool.
