Data that is imported into CRM is organized into two separate Excel files that contain standard fields used for this purpose.
- Profiles
- The file for your profiles import will include all individuals, households, and organizations.
- Notes
Import Data provides detailed instructions for importing data into the system.
File 1: Profiles
The fields listed below are required for your profiles import.
- First and Last Name, or Organization/Household Name
- Only enter First and Last Name, or Organization/Household Name.
- Profile Type - Individual, Organization, or Household
The fields listed below are optional for your CRM import.
- Emails - There can be three emails associated with a profile.
- Create separate columns for additional email addresses.

- Email Type
- Options: home, work, other, or blank.
- Phone Numbers - There can be three phone numbers associated with a profile.
- Create separate columns for additional phone numbers.
- Create separate columns for additional phone numbers.
- Phone Number Type
- Options: home, work, mobile, other, or blank.
- Address Line 1 and Address Line 2 - There can be three addresses associated with a profile.
- Create separate columns for each of the additional addresses.

- Address Type
- Options: home, mailing, work, other, or blank.
- City
- State - You can format this as the state's actual name or two character name.
- Upon importing your data, it will automatically label the state as two characters if it is not listed that way already.
- Example: Montana or MT.
- Postal Code
- Country
- Prefix
- Middle Name
- Suffix
- Do Not Solicit - True/False
- 1099 Vendor - True/False
- TID (Tax ID)
- Job Title - Only available for individual fields.
- Company Name - Only available for individual fields.
- Social Security Number - Only available for individual profiles. All nine digits of the SSN can be viewed with admin permission only.
- Anonymous - True/False
- Website - Available for all profiles.
- Created Date - The creation date for the profile. If not filled in, the created date will default to the date of the import.
- Designations - Designations can be set to specify additional properties for a profile.
- Designations include donor, volunteer, vendor, member, participant, attendee, funder, and prospect.
- External ID - The ID number assigned to a profile from a previous system.
- Lists - A profile can be associated with multiple lists.
- If a profile is a member of multiple lists, the lists will be separated by a semi-colon within the Lists column.
- Custom Fields
The fields listed below are available for import for profiles that are funders.
- Funder Description
- Funder Area of Interest
- Funder Website
- Minimum Amount
- Maximum Amount
- Funder Type
- Funder Custom Link
Any additional information can be imported using custom fields.
File 2: Notes
The fields listed below are required for your notes import.
- Note Label - If there is no note label, the first 25 characters of the note details will create the note label.
- Note Detail
The fields listed below are optional for your CRM import.
- Note Created Date
- Profile External ID - This is required if the note needs to be directly linked to an existing profile.
- Profile ID - This is required if the note needs to be directly linked to an existing profile.
