The Eligibility Quiz feature allows you to add a form as the initial stage of one or more processes, which determines applicants' eligibility to apply to those processes. You configure rules for each process using an eligibility quiz to determine when an applicant is or isn't eligible to apply within the process.
One vs. Multiple Eligibility Quizzes
One eligibility quiz form can be used in multiple processes. Think of the quiz as sitting in front of the processes, checking applicants' eligibility and directing them to the appropriate process(es). You can create unique eligibility rules for each process. When the same quiz form is used in front of multiple processes, applicants only need to fill out one quiz to see check their eligibility to apply for those processes.
If you would like a process to be behind a different eligibility quiz (e.g. if there are significantly different questions you need to ask), you could copy and modify an existing eligibility quiz form or create a new form for that process. You could then add that form to any other processes that should be behind it as well.
Having multiple processes behind the same eligibility form versus process(es) behind their own unique eligibility forms could look something like this:
- Eligibility Form 1
- Process A
- Process B
- Eligibility Form 2
- Process C
- Process D
- Process E
- Eligibility Form 3
- Process F
Create a New Eligibility Quiz Form
Follow the steps below to create a new eligibility quiz form from scratch. If you plan to put the same eligibility quiz in front of multiple processes, you'll only need to take the steps below once. Then refer to the "Add an Existing Eligibility Quiz Form" section of this article.
- Navigate to the Process Manager page, then click the name of the process.
- Click Eligibility.
- Click Add Eligibility Form.
- Click Create New Form.
- Give the new quiz form a Name, then click Create New Form.
- Add a Description if desired. This displays on the Apply page for applicants, explaining the quiz before they begin filling it out.
- Add questions to the eligibility quiz form. Best practice is to make these questions required, as the eligibility rules you'll build will check the applicants' responses to each question to determine their eligibility.
Add an Existing Eligibility Quiz Form
Follow the steps below to add an existing eligibility quiz form to a process. You might take this step if you've already created your processes for this cycle, and now need to place the same eligibility quiz in front of each process. After creating the quiz from scratch in one of the processes, you would then follow the steps below to add that quiz to the other processes.
- Navigate to the Process Manager page, then click the name of the process.
- Click Eligibility.
- Click Add Eligibility Form.
- Select the quiz form you want to add.
- Click Add Selected Form.
Copy an Existing Eligibility Quiz Form
Follow the steps below to copy an existing eligibility quiz form to a process. This is a necessary step when copying processes for a new grant/scholarship cycle; please refer to this article for details on that scenario: Prepare Processes with an Eligibility Quiz for a New Cycle
You could also take this step if you need to make a different version of an existing quiz. For example, if you have a quiz in front of certain processes, and now need to put a modified version in front of one or more other processes. After copying and modifying the quiz in one process, you would then follow the steps in the "Add an Existing Eligibility Quiz Form" section above to add the new version of the quiz to other processes as needed.
- Navigate to the Process Manager page, then click the name of the process.
- Click Eligibility.
- Click Add Eligibility Form.
- Select the quiz form you want to add.
- Click the Arrow icon, then click Copy Selected Form.
- Edit the copied form as needed. It's best practice to adjust the name of the quiz so you can differentiate the different versions.
