Edit a Donation details the initial workflow to edit donations. The article also includes information for donation fields that cannot be edited (ID, Created) and for fields that have a different editing process for unposted and posted donations (Change Fund, Campaign).
Other donations fields (Amount, Payment Method, Payment Data, Donation Adminfee) are only editable when the donation's status is unposted.
Editable Fields on Posted or Unposted Donations
The following fields have the same editing functionality for both posted and unposted donations.

Donor/Change Donor
Change the donor profile that's associated with a donation.
- Navigate to the donation record.
- Click Change Donor in the left-side menu.
- Search for and select the New Donor from the drop-down.
Add Donation Advisor
- Navigate to the donation record.
- Click [add donation advisor].
- Search for and select a profile, or click [Advisor is anonymous or unknown].
- To unlink a donation advisor, click [clear].
Link Pledge/Promise
Link an existing pledge or promise to the donation.
- Navigate to the donation record.
- Click Link Pledge/Promise in the left-side menu.
- Click [link] next to the pledge or promise you wish to link.
- If you need to unlink a pledge or promise from a donation, click [unlink].
Edit Address
- Navigate to the donation record.
- Click Edit Address in the left-side menu.
- Edit the address details, then click Update.
Anonymous and Make Anonymous
- Navigate to the donation record.
- Click Make Anonymous in the left-side menu.
- This replaces the donor/contributor's name with the word Anonymous in the Fund Advisor Portal.
- Make the donor/contributor name visible in the Fund Advisor Portal by clicking Clear Anonymous in the left-side menu.
Recognition Name
- Navigate to the donation record.
- Click [edit] beside the Recognition Name field.
- Enter a Recognition Name and click Save.
Apply to Spendable
- Navigate to the donation record.
- Click [change] to apply the donation to the spendable balance of the destination fund.
- If this field shows Yes, you can click [change] to remove the spendable.
- If this field shows Yes, you can click [change] to remove the spendable.
Grant Cycle
Apply the donation to a Grant Catalog - Grant Cycle.
- Navigate to the donation record.
- Click [edit] beside the Grant Cycle field.
- Select an active Grant Cycle from the drop-down menu, then click Save.
Service Area, Check Number, Custom Message
- Navigate to the donation record.
- Click [edit] beside the Service Area, Check Number, or Custom Message field.
- Select a Service Area, enter a Check Number, or Enter a Custom Message and click Update.
Description
- Navigate to the donation record.
- Click [edit] beside the Description field.
- Edit the Description and click Save.
Tax Receipt
- Navigate to the donation record.
- Click [change] to add or remove the donation from the tax receipt queue.
- If donation tax receipts are turned off for the donation, this field will display No.
- If donation tax receipts are turned on, this field will say one of the following:
- Not Sent - receipt has not been sent.
- Sent + M/D/Y + Time - receipt has been marked as sent.
Tax Receipt Template
Select a different tax receipt template and override the default template (that was configured in System Data -> Templates).
- Navigate to the donation record.
- Click [edit] beside the Tax Receipt Template field.
- Select a Tax Receipt Template from the drop-down, then click Save.
Tribute and Tribute Notification
Add a tribute to the donation and indicate that the donation was made in honor of, or in memory of someone.
- Navigate to the donation record.
- Click [add] beside the Tribute field.
- Search for and select an Existing Tribute or complete the fields to create a New Tribute, then click Update.
- Select how the Tribute Notification should be sent (pdf, word, or email).
- Tribute notifications will not generate, unless in honor of and/or in memory of templates are configured in System Data.
- Tribute notifications will not generate, unless in honor of and/or in memory of templates are configured in System Data.
- Click [mark sent] once the tribute notification has been sent.
Donation Destinations
Apply a donation to a single grant/grantee, or multiple grants/grantees.
- Navigate to the donation record.
- Click [apply] from within the Donation Destinations window.
- Enter the amount that you'd like to apply next to each grant, then click Apply Donation.
- The sum of the amount(s) in the Apply Amount column should equal the total Donation Amount.
- The sum of the amount(s) in the Apply Amount column should equal the total Donation Amount.
