Grant Lifecycle Manager (GLM)/Scholarship Lifecycle Manager (SLM) roles and CommunitySuite permissions often serve similar purposes in each system. However, permissions in CommunitySuite can be used more flexibly to better serve your organization. This means that there are not clear paths between GLM/SLM roles and CommunitySuite permissions. How GLM/SLM roles best map to the default permission groups in CommunitySuite, as well as some custom permission groups, can be found below.
GLM/SLM Roles
In GLM/SLM, there are six roles with one customizable role. Below is the default name of each role as well as a brief description of the role's capabilities in GLM/SLM.
- Administrator - Administrators have full access and permissions in the site.
- Grants Manager - The grants manager role is a pared-down version of the administrator role with customizable permissions depending on license level.
- Auditor - Auditors are a view-only version of the administrator role. If a user has an Auditor role, it cannot have any other role.
- Board Member - The board member role is designed for users evaluating requests, but it has more overall access than Staff Evaluators do.
- Staff Evaluator - The staff evaluator role is designed for users evaluating requests.
- Applicant - Applicants are the only users who go through registration, creating their own account. These users are the only external users to GLM/SLM and do not have an internal equivalent in CommunitySuite.
User Roles Defined contains more detailed and expansive information on each role and how they function in GLM/SLM.
CommunitySuite User Permissions
In CommunitySuite, there are four default permission groups. You can add additional groups and customize or copy groups to fit your organization's needs. Below is the default name of each permission group as well as a brief description of each group's accessibility in CommunitySuite.
- Admin - Users in the admin group have full access to CommunitySuite.
- Audit - Users in the audit group have full viewing access but cannot make any edits to any items in CommunitySuite.
- Staff - Users in the staff group can create and post items. Staff members cannot make profile or permission changes. Nor can they pay and process any items.
- Accounting - Users in the accounting group can process all financial information but cannot make profile or permission changes like staff members.
In addition to the default groups, it is recommended building two other permission groups to help manage your users.
- The first custom permission group is focused around financials and is copied from the accounting user group. This group is able to create, post, and process any financial items. The accounting user group cannot create and post financial items, so you will need to customize this role to suit your organization's needs to allow certain permissions. CFO's, treasurers, and accountants typically use this role to better manage the financial items within your foundation.
- The second custom permission group is focused around temporary employees or interns and is copied from the staff permission group. This permission group has permissions that are isolated to the area where these employees are working. This group is easily customizable to fit whatever permissions you need for certain employees.
Detailed Permissions, Broad Permissions, and User Groups contain additional information about user permissions, permission groups, and how to create and manage them.
Mapping GLM/SLM Roles with CommunitySuite Permission Groups
The resource at the end of this article is available to download and provides a diagram of how each role/permission maps between the products. The CommunitySuite permission groups that most accurately match with the GLM/SLM role will be listed directly below that role. For example, the Administrator role from GLM/SLM maps to the Admin and Staff permission groups in CommunitySuite.
In addition to the resource, below is a list of the GLM/SLM roles and their most similar permission groups in CommunitySuite.
- Administrator - Admin and Staff permissions depending on the user's role in your organization.
- Grants Manager - Staff and Accounting permissions depending on the user's role in your organization.
