  • Board Members That Are Not Evaluators Tutorial

    This Tutorial will outline what a Board Member has access to, how to search for requests, and how to use Shared Documents.

    Logging In

    If you already have an account with the grant making organization:

    1. Enter your e-mail address, in the e-mail address field 

    2. Enter the password you were given by the foundation. 

    3. Press the “Log On” button to enter the Grant Lifecycle Manager. 

    If you have forgotten your password:

    4.  Click the Forgot Your Password link

    5.  It will then ask for your email address. Type your email address and click Send Reset Link.

    If you do not have an existing account:

    6. Contact your Foundation Administrator and they will be able to provide you with these details. 


    After logging into the system, you will be directed to the Dashboard Page.  

    On the Dashboard you will have access to:

    • Closed Evaluations – Requests that are finished being evaluated.
    • Requests & Decisions – A tool Board Members can use to view any requests in the system.
    • Shared Documents – A file system administrators use to make files accessible to board members.


    Closed Evaluations

    Click on the project name to access the Request Summary where you can:

    • View the application by clicking on the view icon (this looks like a piece of paper) to the far right of Application line in the Application Process Status section of the summary.
    • View the evaluation summary by clicking on the view icon
      • Once you are in the Evaluation Summary you can view each evaluation by clicking on the view icon below the evaluator’s name.
    • View Request Documents
    • View Request Comments

    If you click on the “Summary” link on the far right of the page it will also take you to the Evaluation Summary for each request.


    Search Requests & Decisions

    Using the Search Requests & Decisions tools you can:

    • Search for all requests submitted by an Organization
    • Search for all requests submitted by an Applicant
    • Search for requests by Project Name
    • Search for all requests submitted within a Process
    • Search for requests by Status
      • This will show requests in their current status – for example: you can search for all application that have been marked complete but have not been assigned to evaluators for review.
    • Narrow your search by selecting more than one field


    Shared Documents 

    In the Shared Documents area you can view files uploaded by the administrator. Click on Shared Documents under tools to access the files.


  • Evaluators Accessing Follow Ups

    The Board Member evaluator role is the only evaluator role that can view follow ups (besides the Administrator role). Board Members can only access them using the Requests & Decisions tool in the navigation list. To view follow ups as a Board Evaluator follow the steps below:

    1. In the top navigation bar click Requests & Decisions.
    2. In the Request Statuses box, check the box for Follow Up(s) Assigned.
    3. Click Search. This will give you a list of all active requests with follow ups assigned.
    4. Click the Project Name next to the request you wish to view. This takes you to the Request Summary page for that request. 
    5. Click the Follow Ups tab. 
    6. Click the Paper & Pencil icon next to the follow up you wish to view.
      • If you wish to view follow ups for additional requests, repeat steps 1-6.


  • Application & Evaluation Packets

    The application packet and evaluation packet features allow admins and evaluators to download a PDF file of application and evaluation forms.

    Once an application has been submitted, the Application Packet button is available on the Application page for a specific request:


    For the evaluation process, reviewers have the ability to download PDF files for the evaluation and application forms by clicking Evaluation Packet and/or Application Packet in their site:


    The PDF files download within seconds to your computer and automatically have a file name that matches the name of the corresponding request.
