  • Pledge Payment Reminder

    Pledge payment reminders can be created using the pledge_payment template type. See the Upload & Configure Templates article to learn how to access and customize those templates.

    1. Once your pledge_payment template has been created and verified, click Pledges from the home page.

    2. Click on the pledge ID that you want to generate the pledge_payment template for.

    3. Click Payment Document. 

    4. This will run the pledge_payment template for that specific pledge. You can then save or print the document as needed. See below for an example pledge_payment template. 
  • Create Receivable Accounts for Pledges*

    A charitable pledge is an obligation for a donor to give money to the Community Foundation at a future time. Your Chart of Accounts will have two Accounts, one called “Pledges Receivable” (A) in Accounts Receivable and one called “Pledge Support” (R) which is a Revenue Account that will recognize incoming pledges or Pledge Contributions. These Accounts and their defaults may have been created during your implementation process. If these accounts were not created during your implementation you will need to to create them.

    • Go to Accounts
    • Create one Pledges Receivable Account (A) in Accounts Receivable

    • Create one Revenue Account (R) called "Pledge Support" that will recognize incoming pledges or Pledge Contributions

    Next, you will need to set up or verify your Account Defaults

    • On the Accounts page, select Choose Defaults from the left side menu
    • Choose the Account you wish to use for your Pledge Receivable Asset account 

    • Choose the Account you wish to use for your Pledge Contributions Revenue Account
    • The click Update at the bottom of the page 

    Now you can begin to create Pledges in your system.

     

  • Edit & Delete a Pledge

    To Edit a Pledge:

    1. Navigate to Pledges from the Home page.
    2. Click the Pledge ID number.
    3. Click Edit from the left-side menu.
    4. In the Pledge window, edit the Description and/or Amount.
      • Note: The Pledge Amount cannot be decreased; it can only be increased.
    5. In the Adjust Pledge Amount window, next to Adjust Date, select when you want to adjust the pledge amount.
    6. Enter the associated account next Adjust Account.
    7. Click Save.

    To Delete a Pledge:

    1. Select Delete from the left-side menu.

    Note: If the Pledge has been Posted, you will need to Unpost the Pledge before you can Edit or Delete.

  • Cancel a Pledge

    If a Pledge is Open, you can cancel the entire pledge or individual line items. 

    1. Navigate to Pledges from the Home page.
    2. In the Pledge Buckets window at the top of the page, click Open.
    3. Select the Pledge ID number that you want to Cancel.
      • To Cancel the entire Pledge:
        • Click Cancel from the left-side menu.
      • To Cancel individual line items:
        • In the Payment Schedule window, locate the line item that you want to cancel.
        • In the DonationID column of the Payment Schedule window, click Cancel.
        • In the Cancel Pledge Payment window, select a Cancel Date.
        • Enter the Account that you want reversed.
        • Click Cancel.
  • Edit Pledge Payment Schedule

    If you want to edit a payment schedule or break up the pledge into multiple payments and payments dates:

    1. Navigate to Pledges from the Home page.
    2. Click the Pledge ID number.
    3. Select Edit Schedule from the left-side menu.
    4. In the Payment Schedule window, adjust the Date, Amount, or enter additional payments.
    5. Click Save.

    Note:

    • The Pledge Payment Schedule can be edited at any time.
    • The entire pledge will be recognized and reported on your financial statements.
    • If a pledge has been posted, you must unpost before you can edit the pledge payment schedule.
  • Create a Pledge Payment

    When you receive a payment toward an outstanding pledge that a donor made, you will need to enter it as a pledge payment.

    1. Navigate to Pledges from the Home page.

    2. In the Pledge Buckets table, click Open.

    3. Click the Pledge ID number.

    4. Click Add Payment in the left-side menu.

      • You will be redirected to the Donations page where you can enter the payment details in the Add Donation (Pledge Payment) table.
        • Enter the payment details, including the amount, associated campaign, thank yous, payment method, and a description (indicating this is a pledge payment). At a minimum, enter the donation type, amount, payment method, and a description:

    5. Click the Process button.

    6. Review the pledge payment and click Post.

    • The total pledge balance will be reduced by the amount processed.

  • Create & Post a Pledge

    Create and post charitable pledges from donors.

    1. Select Pledges from the Home page.

    2. Click Create.

    3. Enter the name of the profile that's making the pledge, and select from the list.

    4. Enter a Pledge Date (actual date when the donor pledged to donate).

    5. Enter a Destination Fund (fund where donations towards the pledge will go).

    6. Enter a Pledge Date (actual date when the donor pledged to donate), and Destination Fund (fund where donations towards the pledge will go). If the Donor wants remain anonymous, check the box next to Anonymous; then enter a Description of the pledge, the Number of Payments to be received, and the Payment Frequency.

    7. Click Process.

    8. Review the pledge and click Post.

    9. If there are open opportunities associated with the pledge profile, click link to link the pledge to an opportunity.


      The option to link a pledge with an opportunity will only display if the pledge has been posted. If the pledge is unposted, the opportunity will be un-linked from the pledge.
