  • Entering Schools*

    A school is a Grantee in the system. You will need to create a Grantee Profile for each school prior to creating a Scholarship or refunding Historical Scholarships.

    If a school, University or College has not been selected by your scholarship recipient you can enter the scholarship and list the school as Undecided. Once the student has selected a school you must add the school to proceed with the grant/scholarship process.

    • Go to Grantee from the Home page
    • Search Grantees for the school by typing the name in the search box
      • If you find the school you can proceed with adding the school to the student scholarship
      • If you cannot find the school in your Grantee Profiles database, you will need to go to Profiles
    • Search your Profiles database for the school
      • If it is not found, select Create from the left side of your screen to create a new Profile
    • Enter the school name in the Organization text field and the address and phone
    • Select Save when done

    The Profile will be created

    • Next, scroll down the left side menu and select +Make Grantee

    The system will automatically make the school a Grantee and a Vendor. This allows you to write checks to them as a Grantee and to accept refunds from the school as a Vendor.

    • Scroll down the Profile and select the Profile is hyperlinked Grantee 

    This will take you to the Grantee page for the school. 

  • Adding a Student Number*
    • Go to Students under the NonProfit column on the Home page
    • Select the Student by searching the name or choosing list from the left and picking the ID number of the Profile
    • Pick Student from the Profile Is section
    • Choose Add Student Number from the left side menu
      • Choose the School they are attending 
    • Enter or Edit the Student Number

    • Select Update to save

    Students may have more than one school and one number on their record (the number is unique based on the school).

    Student numbers can also be edited in the student record as well by selecting Edit Student Numbers from the left menu.

  • Entering Students*

    Create a Student Profile by going to Students and select Create from the left side menu. 

    • If you already have the student as a Profile in your system you will need to tag that Profile as a Student.
      • If the Profile of a Student does not exist, you will need to create their Profile.

    After a Profile is tagged as a Student you will be redirected to the new Student record.

    • From the left side menu, you can 
      • Attach File -including documents or scanned items such as Applications, transcripts, etc. Choose any file from your computer and pick the Upload button to attach it to the student record.
      • Add Note- this is where you can type internal messages related to the student.
      • Email the student from your system if you have an email in the Student’s Profile record.  Emails sent will be recorded in Profile Notes for reference.
      • Set Inactive gives you the ability to make the student no longer active to receive scholarships. 
        • They can be made Active again by selecting Make Active on the left side menu.
      • Add Student Number gives you the ability to record the Student Number. 
      • Edit Student Numbers allows you to edit the number in the Student Number box or add another school and associated Student ID Number
      • Add Scholarship gives you the option to add an existing scholarship to the student. Selecting this option takes you to the scholarships section and you will begin the scholarship award process.
    • Choose Update when done adding the relevant data to the student record
