Validating your data before it is loaded to your Live site is a vital step of the implementation process. The following is provided as guidance of the areas to review as part of your data assessment for beginning balance data validation for CommunitySuite. These areas are reviewed at various points throughout the implementation.
To review your data, log in using the URL and login information provided by your Foundant implementation team. If you have a question about your data, attach a screenshot of the record as it appears in CommunitySuite and include an ID number of the record in the comments within your Question/Issue Tracker in Smartsheet. Be as specific as possible with your example and question.
This article is for informational purposes only. As you work through each section, update your progress on your Data Validation Checklist in Smartsheet. When a section is reviewed and ready to load to your Live site, inform your Foundant implementation team.
Accounts
Validate that your Chart of Accounts migrated to CommunitySuite properly.
- Navigate to the Home page and click Accounts.
- Click List All in the left-side menu to view all open and closed accounts.
- Review the Chart of Accounts to ensure that the accounts have the correct account type (assets are assets, etc.), account number, and account name.
Funds
Validate that the funds from your current system migrated to CommunitySuite correctly.
- Navigate to the Home page and click Funds.
- Click List All in the left-side menu.
- Review and confirm your list of funds migrated correctly to CommunitySuite.
- Click on a fund ID and verify that the Group, Subgroup, and Division are properly assigned.
- Complete this step for as many different funds as necessary until you are confident that the data migrated correctly.

Financials
Statement of Financial Position (Balance Sheet) in Total
Run a Statement of Financial Position (Balance Sheet) for your organization in total for the loaded period and compare to your current system.
- Navigate to the Home page and click Financials.
- Click Balance Sheet in the left-side menu.
- Select the desired date in the Static Date field and click Show Date.
- Compare all or a sample of fund balances to your current system.
Statement of Financial Position (Balance Sheet) by Fund
Run the Statement of Financial Position (Balance Sheet) by fund after you have verified that they are correct in total.
- Run the Statement of Financial Position (Balance Sheet) in total as described in the previous section.
- Click Show Fund in the left-side menu.
- Compare all or a sample of fund balances to your current system.
Profiles
Browse through the profiles to check for accuracy.
- Navigate to the Home page and click Profiles.
- Click Browse in the left-side menu.
- The profiles will be ordered by profile type: Individuals, Households, and Organizations. Review the three sections and confirm the profiles are in the correct type of profile section.
- You may not have household type profiles if opting to create these in CommunitySuite after the migration.

Search for a Profile
Search for one profile.
- Navigate to the Home page and click Profiles.
- Enter the Name, Email, Phone, EIN, or Address of the person or organization you want to review and select the name of the profile from the drop-down list.
- Review the profile for accuracy.
Review the Applicable Profiles
Individual Profiles
Search for a few of your individual person profiles and complete the following steps.
- Review the name, legal name, mailing label, salutation, and birthday for any missing information.
- Review the email address, mailing address, and phone numbers to make sure all applicable contact information migrated correctly.
- Optional - Review links to other profiles to ensure that all links appear with the proper organization role.
- If you did not include organization roles in your template, disregard this validation item. Organization roles can be set up in CommunitySuite after the migration.
You will not see gift history applied to profiles; this is a separate import following the profiles import.
Largest Grantees Profiles
Search for a few of your largest grantees and complete the following steps.
- Review the grantee's name, legal name, mailing label, and salutation for any missing information.
- Review the email address, mailing address, and phone numbers to make sure all applicable contact information migrated correctly.
- Optional - Review links to other profiles to ensure that all links appear with the proper organization role.
- If you did not include organization roles in your template, disregard this validation item. Organization roles can be set up in CommunitySuite after the migration.
You will not see grant history applied to grantee profiles, this is a post go live import that you will learn how to do during training.
Student Profiles
Search for a few of your student's profiles and complete the following steps, if you included students in your profile template.
- Review the student's name, legal name, mailing label, salutation, and birthday for any missing information.
- Review email address, mailing address, and phone numbers to make sure all applicable contact information migrated correctly.
- Optional - Review links to other profiles to ensure that all links appear with the proper organization role.
- If you did not include organization roles in your template, disregard this validation item. Organization roles can be set up in CommunitySuite after the migration.
Accounts Payable Vendors Profiles
Search for a few of your accounts payable vendors and complete the following steps.
- Review the vendor's name, legal name, mailing label, and salutation for any missing information.
- Review email address, mailing address, and phone numbers to make sure all applicable contact information migrated correctly.
- Optional - Review links to other profiles to ensure that all links appear with the proper organization role.
