Each question on a form has an underlying field code. When a process is copied, the field codes for questions within the process are copied as well, meaning that they are synced with the new process.
Syncing field codes for questions that are the same across processes, for example, "Amount Requested", is helpful for two reasons.
- When building a report, if the field codes for a particular question are synced, the data for that question will end up in one column in the report. If the field codes are not synced, the separate columns in the report will need to be manually combined.
- If field codes are synced, one merge template could be used for multiple processes.
For the reasons listed above, it is recommended that one process be built first and then copied to create any additional processes or the next annual process. However, a situation may arise where a question needs to be added to multiple existing processes and that question should be synced across the processes. To accomplish this, use the Boat Method.
- Click Tools on the upper navigation bar, and then click Process Manager.
- Click the process name.
- Click the Application stage.
- Click the pencil icon to edit the application form.
- Click Standard.
- If the question to be shared on a different process already exists on the application, skip to step 8.
- If the question to be shared on a different process already exists on the application, skip to step 8.
- Click a Question Type.
- Enter the applicable Add Decimal information, and then click Save Question.
- Navigate back to the process, and then click the Follow Ups stage.
- Click Add Follow Up.
- Click Create New Form.
- Enter a Name, and then click Create New Form.
- Name the form "Boat," or something easy to spot.
- The form will only be used for this method and will then be deleted.
- Click Shared.
- Click the question from the application, and then click Add Selected Question.
- The question is now on the application and the follow up form.

- Click Tools on the upper navigation bar, and then click Process Manager.
- Click the second process to which the question will be shared.
- Click the Follow Ups stage.
- Click Add Follow Up.
- Click the Follow Up form, and then click Copy Selected Form.
- When a follow up is copied from one process to another, it loses all the field synching unless the questions are shared somewhere else.

- Click the Application stage.
- Click the pencil icon to edit the application form.
- Click Shared.
Click the question from the follow up, and then click Add Selected Question.
- If the question needs to be added to other processes, repeat steps 14-20.
- Click the Follow Ups stage.
- Click the X icon to delete the follow up form.
- Repeat this step on the other processes.
- Repeat this step on the other processes.
The new question is now synced across the processes.
