Once you have built an email template for an award email, there are some additional considerations depending on if you use common or pseudo common follow ups, or if you use opportunity-specific follow ups.
If you have renewable scholarships, reach out to Support before configuring award emails for those scholarships.
Common or Pseudo Common Follow Ups
Refer to this section if you are using common or pseudo common follow ups.
Considerations for common or pseudo common follow ups:
- Should be sent from the Approved workload page.
- Can include Opportunity Process Name and Amount Awarded merge fields but not follow up specific fields (i.e., follow up due dates).
- Cannot be automated, but can be sent in batch from the All Open Approvals workload page.
Example Language:
Dear {{Applicant.FirstName}},
I am pleased to inform you that you have been awarded the {{Process.OpportunityName}} in the amount of {{Request.AmountAwarded}}! The {{Funder.Name}} needs more information to send your scholarship check to your school of choice.
NEXT STEPS:
In order to claim your scholarship, you are required to submit a scholarship agreement. Follow these steps to complete the form:
1. Log in with your username ({{Recipient.Email}}) and password.
2. Once logged in, you will be directed to your Applicant Dashboard.
3. On the left-side panel titled "Assigned To You", you will see the agreement assigned to you. Click on the Start button to the right to access the form. You can save the form as often as you need.

Opportunity Specific Follow Ups
Refer to this section if you are using strictly opportunity-specific follow ups.
Considerations for opportunity-specific follow ups:
- It is not recommended to automate this communication as a "To applicant when assigned" event on follow ups. This communication will go out when the follow up is assigned, regardless of the show decision status.
- Can be sent in batch from the Follow Ups Draft workload page.
- Can include Amount Awarded and follow up due date merge fields but not Opportunity Process Name.
