The Shared Documents feature allows you to upload documents in your Grant Lifecycle Manager (GLM) or Scholarship Lifecycle Manager (SLM) site and make them available to internal users or to the public. This is commonly used to store documents that evaluators, board members, or staff need to reference as they are working in the site. There is also an option to mark the document as public meaning the link can be linked in forms and shared to applicants, or be shared to the general public. While documents related to a specific request can be uploaded as request documents, the Shared Documents page provides a location to upload general documents.
Examples of documents commonly housed on the Shared Documents page include:
- Meeting agendas and minutes
- Customized reference sheets or tutorials for evaluators
- Reports
- This is especially useful for users who do not have access to the Reporting tool in the site.
Add Shared Documents
Add a File
- Click Tools on the upper navigation bar, and then click Shared Documents.
- Click Add File.
- To add a file inside an existing folder, first click the folder name.
- To add a file inside an existing folder, first click the folder name.
- Select the file to add from your computer.
- Check the box for each user role that should have access to the file.
- If no boxes are checked, only administrators have access.
- If the Public box is checked, right clicking on the document name will allow for a link to be copied.
- The Public box, when checked, allows the document link to be linked and shared to applicants, or the general public.

- Click the pencil icon to edit a file name.
- Click the trash can icon to delete a file.
A user can then click the file name to download the file to their computer.
Add a Folder
- Click Tools on the upper navigation bar, and then click Shared Documents.
- Click Add Folder.
- Enter a Name and optional Description, and then click Save.
- Click the pencil icon to edit a folder name.
- Click the trash can icon to delete a folder and its contents.
