Regular cleanup and maintenance actions help keep your Grant Lifecycle Manager (GLM) or Scholarship Lifecycle Manager (SLM) site organized and ensure administrators can focus on active requests and current processes. These maintenance tasks remove clutter from dashboards, archive outdated content, and maintain accurate organization and user records. Depending upon your workflows, these cleanup actions could be completed on an annual basis or at the end of each grant or scholarship cycle.

When to Perform Site Cleanup and Maintenance:
- Draft requests remain on the dashboard after a process deadline has passed or a cycle has closed, making it difficult to identify active applications that need attention.
- Completed grant or scholarship cycles have left approved requests on workload pages even though all required actions and payments have been finished.
- Multiple processes from previous years appear on the Apply page even though they are no longer accepting new applications, potentially confusing applicants about which opportunities are currently available.
- Duplicate organization records exist in the site because multiple users from the same entity created separate accounts, scattering request history across different profiles.
- Former staff members like evaluators or administrators who have left the organization still have active access to the site and appear in assignment lists.
