CommunitySuite provides several options for exporting profile data and generating mailing labels directly from a campaign. These tools support outreach and mail merge workflows by pulling profile contact information from the campaign's invitee list.
Who: All CommunitySuite users who manage campaign communications and mailings.
When to Export Campaign Lists and Mailing Labels
Use campaign export and label options to:
- Generate print-ready mailing labels for profiles on a campaign invitee list.
- Export profile contact information for use in mail merge workflows.
- Pull a filtered list of guest or profile emails for bulk email outreach.
- Exclude specific profiles from mailing labels without removing them from the campaign.
Once a campaign has been created and profiles have been added, generate mailing labels and export lists from the campaign's Profiles tab by selecting an export or label option from the left-side menu.
- Navigate to a campaign that has profiles added to it.
- Click the Profiles tab.
- Click an export or label option in the left-side menu.
Guest List
This shows a list of all the guests that have RSVPed for a campaign. You can choose to Save, Load, Filter, Export, or Email the list of guests.
Profile List
This shows a list of all of the profiles associated with a campaign. You can choose to Save, Load, Filter, Export, or Email the list of profiles.
Export Email
This generates a csv file with either all profile emails or only primary profile emails, depending on what is selected.
Mailing Labels
This generates a file that is ready to print on 30/page labels, Avery 5160 or equivalent. The file includes the profile name and mailing address.
Each profile, including household member and guests, in the invitee list will have a label unless they are marked Do Not Mail. If marked Do Not Mail, the profile will not be in the label file.
Mailing Label CSV
This file contains all profiles that are in the invitee list with their primary contact information.
If a profile is marked Do Not Mail, Do Not Email, or Do Not Phone, then the associated Do Not contact information is blank on the export.
When a profile has more than one address and addresses other than the primary have the Mailing box checked, those addresses will also pull into the export file.
When a household and an associated household member are on the list, the Type of profile will be Guest. Guests are household members whose household is also on the list. To only mail to the households, remove Type of "Guest" from the list.
Exclude Labels
Select profiles can be excluded from the Mailing Labels and Mailing Label CSV. This does not exclude them from Export CSV.
- Click Exclude Labels in the left-side menu.
- Check the boxes next to the profiles that should be excluded, and then click Exclude Checked Addresses.
Export CSV
This file is similar to the Mailing Label .csv but has some additional profile information.
If a profile is marked Do Not Mail, Do Not Email, or Do Not Phone, then the associated Do Not contact information is blank on the export.
Additional addresses that are marked Mailing do not export in this file.
