Once opportunity types and task types have been created, opportunities can be assigned to profiles one at a time or in bulk. When batch assigning opportunities, consider whether these opportunities will be managed on a 1:1 basis. If not, consider if opportunities is the best feature for this goal. Campaigns are better suited for tracking donations that do not require 1:1 activity.
Assign Opportunities Individually
- Navigate to the Opportunities page and click Create in the left-side menu.
- Enter the profile name in the Profile field and select the profile from the drop-down list.
- Enter the applicable Create Opportunity information, and then click Create.
- Connected Profiles - Additional profiles that are connected to the opportunity. Multiple connected profiles can be added to a single opportunity.
- Professional Advisors - The profile that will advise the opportunity. Multiple professional advisors can be added to a single opportunity.
- Type - Opportunity type. This is the only required field.
-
Assign To - The user to whom the opportunity is assigned.
- This defaults to the user who is creating the opportunity, but can be edited within the drop-down menu.
- Secondary Assignees - Additional users who will be assigned to the opportunity. There can be multiple secondary assignees.
- Target Date - Deadline for the opportunity goal or outcome to be achieved.
-
Solicited Amount - Amount requested from the profile.
- This does not impact the general ledger.
-
Committed Amount - The amount that the profile committed.
- This does not impact the general ledger.
- Fund - The fund that the opportunity is to support.
- Task Type - Type of task that should be connected to the opportunity.
- Description - Task description.
- Due/Reminder Date - Date task should be completed.
- Beneficiary Profile - The profile that is legally designated to receive the benefits of the opportunity.
-
Additional Beneficiaries - Additional beneficiaries can be added to the opportunity.
Additional opportunity tasks can be added once the opportunity has been assigned.
The link between an opportunity and any associated profiles—via connected profiles, professional advisors, or beneficiaries—will appear in the profile’s engagement tab.
Assign Opportunities in Bulk
When assigning opportunities in bulk using one of the methods below, a separate opportunity will be created for each profile defined in the report.
- Build a list of profiles using one of the methods below.
- Create a filtered list of profiles.
- Build a profiles custom report. Include Profile ID as a column and apply at least one filter.
- Click Bulk Actions in the left-side menu, and then click Create Opportunities.
- Complete the applicable Create Opportunities information, and then click Create.
- The selected fields will apply to all opportunities being created.
- If task information is added, a task will be created for each opportunity being created.
Copy an Opportunity
A new opportunity can be created by copying an existing opportunity. When an opportunity is copied, all fields filled out on the original opportunity will be copied to the new one. The amount entered in the Committed Amount field is the only item that will not be copied over since that number can be tied to pledges, donations, and promises.
- Navigate to the Opportunities page.
- Click the ID of the opportunity to be copied.
- Click Copy or Copy (No Tasks) in the left-side menu.
- The Copy option will copy the opportunity and any tasks associated with the opportunity.
- The Copy (No Tasks) option will only copy the opportunity.
Users will automatically be directed to the record of the new opportunity. The original opportunity and the user who copied it will be listed on the Log page in the left-side menu.
