Customize Donations Content – Foundant Technologies

Donations Content allows custom text and messages to be added to specific donation fields in CommunitySuite. These fields control the content of donation-related emails, tax receipts, and other donor-facing communications. Each content field listed below includes a description of where it displays in the system and its default content, if applicable.

Merge fields are within curly { } brackets. Text within square [ ] brackets is plain text and can be edited. Merge fields cannot be added beyond those included in the default, but they can be deleted. Remove square brackets when updating content.

Who: Donor relations or communications staff who manage donation-related email communications and tax receipt content in CommunitySuite.

How to Use Donations Content

Use Donations Content to:

Customize the body of tax receipt emails sent to donors after a gift is posted.
Update the header and footer text of auto-generated tax receipts.
Configure reminder email content for upcoming recurring donations.
Customize the notification email a fund advisor receives when a donation is posted to a fund they advise.
Edit the body of emails sent to donors who contribute online.

To view and edit Donations content fields in CommunitySuite:

Navigate to the Donations page and click Content in the left-side menu.

Communication

The Communication section contains content fields for donation-related emails and tax receipts.

Donation Email Body

The Donation Email Body is the text for the email that sends tax receipts as attachments when a user initiates this process from within CommunitySuite (see online_donation_email_body for content that sends for online donations).
Default content: {name} {salutation} attached is the tax receipt for your recent donation.

Donation Notify Email Body

The Donation Notify Email Body is the text for the automatic email a fund advisor receives when a donation is posted to a fund they advise and when Donation Notify is enabled in the fund advisor record.
Default content: This is a notification that DonationID {{donation_id}} was received for {{fund_name}}

Donation Tax Footer

The Donation Tax Footer is the text that will display in the footer of Auto Tax Receipts if tax receipt templates are not enabled. Auto Tax Receipts are the standard receipt generated by CommunitySuite when templates are not in use.
Default content: [foundationname] is a nonprofit corporation under tax code 501c3, tax ID number [xx-xxxxxxxx]. No goods or services were provided in consideration of this gift. [foundationname] has exclusive legal control over the contributed assets. Federal tax law requires that you maintain this receipt to substantiate your charitable deduction.
To use this content, the Donations setting Tax Receipt Templates must be turned off.

Donation Tax Header

The Donation Tax Header is the text that will display in the header of Auto Tax Receipts if tax receipt templates are not enabled. Auto Tax Receipts are the standard receipt generated by CommunitySuite when templates are not in use.
Default content: Thank you for your recent gift to the [foundationname]. Every contribution to our foundation helps to ensure there are resources available to support the communities you care about across [my state]. We truly appreciate your generosity and thank you for your investment in your community. Please retain this receipt for your records. Sincerely, Executive Director
To use this content, the System Data setting Tax Receipt Templates must be turned off.

Online Donation Email Body

The Online Donation Email Body is the body of the email sent to donors who contribute online. This is also sent when recurring donations are posted. To use this content:
- Auto Tax Receipt in System Data must be turned on.
- You must enter an email in the Auto Tax Receipt Reply To field in System Data.
Default content: Attached is the tax receipt for your recent donation to [foundationname].

Recurring Donation Reminder Subject

The Recurring Donation Reminder Subject is the text for the subject line of the reminder email sent to donors about an upcoming recurring donation.
Default content: None.
Example language: Your Recurring Donation is approaching.
To use this content, the Recurring Donation Reminder Days must be entered in the Portal Options Settings.

The Recurring Donation Reminder Body is text for the reminder email sent to donors about an upcoming recurring donation.
Default content: None.
Example language: This is an automated notification to remind you that your recurring donation is approaching.
