Profiles who do not wish to be contacted can be removed from communication lists using Do Not Mail, Do Not Email, and Do Not Call indicators.
The profile Inactive option and custom fields can be used to enhance communication preferences if necessary.
- Navigate to a profile.
- Click [Do Not Mail], [Do Not Email], or [Do Not Call] in the left-side menu.
- These options only appear if the profile has address, email, and phone data.
The communication preference will be visible on the profile record.
The profile address, email, and phone number will remain in the database and can be reinstated at any time using the Clear Do Not Mail, Clear Do Not Email, and Clear Do Not Phone in the left-side menu of the profile record.
[Do Not Mail]
If [Do Not Mail] is applied to a profile record, then the address for that profile will not show up on any lists or reports.
[Do Not Mail] will only impact the profile on which it is selected, even when other profiles have the same address.
[Do Not Email]
[Do Not Email] will block emails to all profiles with that email address. For example, if an organization profile and an individual profile have the same email address, then neither will receive emails if [Do Not Email] is selected on either profile.
Profiles with [Do Not Email] selected will still receive tax receipts. Advisors with donation notifications turned on will still receive donation notifications.
If [Do Not Email] is selected for a profile record, then the email for that profile will not show up on any lists or reports. The email for any other profile with the same email will not show in campaigns or filter lists. It will show in custom reports.
[Do Not Call]
Do Not Call will block calls to all profiles with that phone number. For example, if an organization profile and an individual profile have the same phone number, then neither will receive calls if [Do Not Call] is selected on either profile.
If [Do Not Call] is selected for a profile record, then the phone number for that profile will not show up on any lists or reports. The phone number for any other profile with the same phone number will not show in campaigns or filter lists. It will show in custom reports.
