Integrate Microsoft Outlook with CommunitySuite to send emails from Outlook to CommunitySuite, and add them as notes to CommunitySuite profiles. Outlook integration streamlines communication tracking by capturing email conversations directly on donor, grantee, or fund advisor profiles.
Who: All CommunitySuite users who manage email communications with donors, grantees, or other contacts.
When to Use Outlook Integration:
- You need to reduce manual data entry by automatically capturing email content and threads as profile notes.
- You want to ensure your team has visibility into all correspondence for better relationship management.
Configure Outlook Integration
To configure the Outlook integration with CommunitySuite, generate API credentials in your account settings and add the Foundant for Outlook app in Microsoft Outlook.
- Navigate to the Home page.
- Click your name in the upper right corner.
- Click API Keys in the left-side menu.
- Complete the Configure Outlook Add-In instructions.
- Add the description for the API Key, and then click Create.
- This will generate the Site, API Key, and API Secret.
- This will generate the Site, API Key, and API Secret.
- In Microsoft Outlook, search the App Store for the Foundant for Outlook and add it.
- Click the Add note to CSuite icon.
- Click Get Started.
- Enter the CSuite Site, CSuite API Key, and CSuite API Secret, and then click Save.
Send Emails from Outlook to CommunitySuite
To send emails from Microsoft Outlook to CommunitySuite as profile notes, search for the recipient by name or email address and select which profile should receive the email as a note.
- In Microsoft Outlook, click the Add note to CSuite icon.
- Enter the name or email in the search bar, and then click Search.
- Select the sender from the search results, and then click Add Note to Profile.
The entire email chain will be added as a note to the profile in CommunitySuite and can be found on the Notes tab.
