The account import tool allows you to create account records in CommunitySuite in bulk using a downloadable template. Users can validate the import template before importing to confirm that the file is formatted correctly.
Who: Finance and accounting teams who manage the chart of accounts.
When to Import Accounts
Import accounts when:
- Migrating a chart of accounts from a legacy system into CommunitySuite.
- Bulk creating multiple account records to reduce manual entry.
Import Accounts
To import accounts into CommunitySuite, download the template, populate it with your account records, and upload it. See File Format Notes below for field requirements and formatting guidelines.
- Navigate to the Accounts page.
- Click Import Accounts in the left-side menu.
- Click Download Template.
- Open the template, enter the account import information, and then save the template as a .csv file to your computer.
- Account Number, Account Type, and Name are required fields.
- Description and Financial Institution Account Number are optional fields.

- Click Choose File.
- Select the .csv file from your computer.
- Click Process.
- Check the Dry Run box to validate that the import file meets the file format criteria. See the Validate the Account Import Template section for more information.
- Once the upload is successful, you will automatically be redirected to the Accounts page to view the account records.
Once all accounts have been imported into the system, users can edit the accounts and configure any additional account fields. Create, Copy, and Edit an Account, and Bulk Edit Accounts provide additional details.
File Format Notes
The following field requirements and formatting guidelines apply to the account import template.
- account_num is required and must be unique.
- account_type is required. Allowed values: A (Asset), L (Liability), R (Revenue), E (Expense), OE (Other Equity).
- name is required.
- description and financial_institution_account_number are optional.
- Leading and trailing spaces in all entries will be removed.
Validate the Account Import Template
To validate the account import template before importing, use the Dry Run option to identify any errors in the uploaded file without creating any account records. If an error is identified, it will list the row and column in the template, along with a message detailing the error that needs to be fixed. Below is an example of a validation error.
