The Third Party Tracking page shows the completion status of third party requests across a Grant Lifecycle Manager (GLM) or Scholarship Lifecycle Manager (SLM) site, giving administrators visibility into who has completed their portion of a request and who still needs to respond. The Third Party Tracking page is only available on sites with Third Party enabled in Settings.
User Role: Administrator
When to Use Third Party Tracking
Use Third Party Tracking when:
- A deadline is approaching and administrators need to see which third parties have not yet completed their portion of a request.
- Multiple third party emails need to be resent at once instead of resending them one request at a time.
- Overall third party completion progress across the site needs to be reviewed without opening each request individually.
Access Third Party Tracking
To access Third Party Tracking:
- Click Tools on the upper navigation bar, and then click Third Party Tracking.
How the Summary Bar Works
The summary bar at the top of the page shows overall third party progress at a glance.
- Sitewide Percentage - The overall completion rate across all third party requests, shown as a percentage and a progress bar.
- Total - The total number of third party requests.
- Complete - The number of third party requests that have been completed.
- Incomplete - The number of third party requests still outstanding.
How the Grid Works
Each row in the grid represents one third party request.
- Recommender Email - Address of the third party being tracked.
- Process - The GLM or SLM process the request belongs to.
- Total - Total number of items requested from the third party.
- Completed - Number of items the third party has completed.
- Progress - Percent complete, shown with a progress bar.
- Applicant - The applicant associated with the request.
Third party requests that have not yet been sent, and requests tied to a denied, abandoned, closed, or deleted application, are not included in the grid.
On sites with Universal Application, progress counts are calculated per third party request rather than deduplicated by opportunity, so totals may differ slightly from what a third party sees on their own dashboard.
Rows can be grouped by Recommender or Applicant. Rows are not grouped by default. Select an option from the Group by drop-down menu to change the grouping. When rows are grouped by Applicant, each group row shows the applicant's name along with the group's combined progress instead of listing each third party request separately.
Filter and Customize the Grid
Column tools are available along the right edge of the grid.
- Columns - Show or hide individual columns. Visible columns are saved per user.
- Filters - Narrow the grid to specific third parties, processes, or applicants.
- Clear Filters - Remove all active filters at once.
- Reset Layout - Restore the grid's default column order and grouping.
Check the box next to a row to select one or more third party requests, and then click Email above the grid to send the third party email individually or in batch. Each third party receives one email containing a link to their own dashboard, and previewing or resending the email does not create an additional link.
Third Party Tracking is a view-only page. Assigning, canceling, and editing third party requests are not available here. Complete those actions from their existing locations.
