The Budget feature quickly creates budgets for upcoming fiscal years or models different budget
scenarios. It allows your organization to reduce manual preparation time by copying prior year values or calculating a percentage increase to them. Users can also manually adjust individual line item values after the budget calculation or build budgets from scratch with custom values. The budget can display in financial reports so you can see budget estimates against actual revenues and expenses.
Who: Executive Directors, CFOs, and accounting teams who work with annual budget planning.
Example Scenario: A community foundation CFO is preparing for a mid-December board meeting and needs to project the 2026 budget with an increase of 3%. Instead of manually calculating an across-the-board increase, the CFO can use the budget feature to automatically apply a 3% increase to prior year
actuals. The organization is also exploring a 5% increase to staff salaries; the CFO can adjust this
individual budget item manually.
Create a Budget
- Navigate to the Budget page and click Create in the left-side menu.
- Enter the budget Year, and then click Next.
- Select a budget type from the Type drop-down menu.

- Enter the applicable information based on the budget type, and then click Next.

- Some budget types may not need any extra information.
- Click Create.

- Click on the short name of a fund.
- Only funds that have the Budget setting enabled will appear.

- Make any changes to the year's budget for each line item in the fund, and then click Update.
- Adjustments can be made to the existing budget in the Adjustment column.
- The total budget and adjustment amount appear in the Projected column.
- If a budget for this fund has previously been created, the budget for the prior financial year appears in the Prior Budget column.
- The system will divide the amount listed within each line item by 12 to create a monthly budget. The monthly budgets can be modified, which is covered in the next section.

If a budget is being used to track departmental transactions, creating and using a subfund of the Operating Fund for that department will allow for easy tracking and organization of any budgetary entries.
Modify Monthly Budget
The system divides the amount listed within each line item by 12 to create a monthly budget, but the months can be modified if needed.
- Navigate to the budget.
- Either click the amount that corresponds to the fund and account that needs to be edited, or click the Account number that needs to be edited.
- Clicking the amount advances to a page where the budget for that fund can be edited. The image in step three reflects this selection.
- Clicking the account number advances to a page where that account's budget for all funds in the budget can be edited.
- Make applicable edits, and then click Update.
- The total at the bottom of the page updates as changes are made.
- The budget can be saved with a new total other than the original total entered in the budget.
Import a Budget
A budget can be imported after creating the budget year.
- Navigate to the budget.
- Click Import in the left-side menu.
- Click [Download Template] to download the budget template for the year that is created.
- The template will download as a .csv file.

- Open the template, enter the budget information, and then save the template to your computer.
- Instructions for how to fill out the template are available on the import page.
- The file must be saved in .csv format.
- Click Choose File.
- Select the .csv file from your computer.
- Click Process.
A background job will be created.
