Profile designations are additional layers on a profile that house specific types of transactions or information. Designations are listed in a profile's Details tab.
A profile can have any combination of designations. The profile designation options are as follows:
- Donor - A profile that has donated to the organization.
- Fund Advisor - A profile that needs fund statements or access to the (legacy) fund advisor portal or the Fund Management tab of the Portal.
- Grantee - A profile to which a grant is paid.
- Student - A profile to which a scholarship is paid.
- Vendor - A profile from which a bill is received.
- Customer - A profile that will be billed and from which payment will be accepted.
- Nonprofit - An organization profile that will be flagged as a nonprofit or list in the nonprofit directory.
- User - A profile in the system that has access to the internal side of the system.
The profile shown below has Donor, Fund Advisor, Grantee, Student, Vendor, Customer, and NonProfit designations. The Login Info tab is shown when a fund advisor or user profile has set up login information to the Portal.
Add Designation to Profile
- Navigate to a profile.
- Click [Make] next to the designation to be added to the profile.
Designation Types
- Click the designation name on the profile record to access the designation information.
- Each designation type has unique information associated to it. Click the tabs to display the information and use the options in the left-side menu to update it.

Donor
The donor designation displays all donations from this profile. If the profile was a donation advisor, then those donations are displayed also.
Household donor designations display their own direct and advised donations as well as the direct and advised donations of each household member.
Fund Advisor
The fund advisor designation enables a profile to receive fund statements and gain access to the (legacy) fund advisor portal or the Fund Management tab on the Portal. Information about the fund advisor designation is detailed in Create and Edit Fund Advisor Profile.
Grantee
All grants awarded to this profile are displayed. Items that can be added or edited are listed below.
- No Charity Status Check - Disable or override the Guidestar Charity Check by checking the No Charity Status Check box. This bypasses the charity check which can be useful for entities like schools or universities which would not pass.
- Last Financial Date
- Default Grant Type - The value set in default grant type will default on grants that are created for this grantee.

Is School - Schools are designated as grantees for scholarship processing in CommunitySuite.
Click Set Inactive in the left-side menu to make a grantee inactive.

When a grantee is set as inactive, it will be suppressed from grantee search results in the fund advisor portal; however, it is still possible to manually process a grant for the inactive grantee.
The vendor designation is made inactive when the grantee designation is made inactive, and vice versa.
Grantees can also be made inactive in bulk.
Student
The student designation displays all scholarships to this profile. Left-side menu options that add information to the student designation include the following:
- Set Inactive - Make the student no longer active to receive scholarships.
- Add Student Number

Edit Student Numbers - Edit existing numbers or add another school and associated Student ID Number.
Vendor
The vendor designation displays all vouchers for this profile. Items that can be added or edited are listed below.
- Account Number
- Website

Default Account - The default expense or liability account associated with this vendor.
- If a default account is set, it will automatically populate as the Expense Account for any vouchers created for this vendor.
- Voucher Allocation Table
- Need 1099 - Indicates whether a vendor needs a 1099 form.
The vendor designation is automatically added to a profile whenever a profile is made a grantee or student since the transactions on those designations require vouchers.
Customer
The customer designation displays all invoices from this profile.
Nonprofit
The nonprofit designation enables a user to filter their profiles for nonprofits. It can also enable the profile to be listed on the organization's public facing Nonprofit Directory. Guidance about the nonprofit designation is available in Nonprofit Directory.
User
Users are individuals who have access to the internal side of your CommunitySuite site by using login information specific to them. Generally speaking, employees, board members, interns, volunteers, or auditors could all be users.
After designating a profile as a user, set up of a login and password are required. Users must also be assigned to a user group.
Affiliate/Supporting Org
An Affiliate/Supporting Org is a profile designated in the system as an affiliate or a tax exempt charitable alternative to a private foundation.
The affiliate/supporting org designation is the first step in enabling the affiliate portal. Affiliate Portal provides details about this designation.
- Navigate to the organization profile to be designated as an affiliate/supporting org.
- Click Affiliate/Supporting Org in the left-side menu.
- Check the applicable Affiliate/Supporting Org boxes, and then click Update.
The Affiliate/Org ID will be available on the profile's Details tab.
