Tax receipts confirm donation details for donors and provide the record they need for charitable deductions. Tax receipts can also include messaging that shares your organization's gratitude directly back to the donor about the impact of their gift. After a donation is recorded, tax receipts can be generated and sent to donors individually or in bulk in CommunitySuite.
If you have created and enabled a tax receipt template, the system will use your template. If not, a stock tax receipt will be generated using the Donation Tax Header and Donation Tax Footer content blocks.
Who: Finance, accounting, and donor development teams responsible for processing donation acknowledgments.
Generate Individual Tax Receipts
To generate an individual tax receipt in CommunitySuite:
- Navigate to a donation record.
- Click Tax Receipt on the donation record.
- Click the applicable send option.
- Email to - Email to an email address on the profile. Each email address in the profile will display in this menu.

Email to new address - Email to an email address that is not in the profile.
- Manually entering the email address is required.
- Print Tax Receipt (pdf) - Opens as a .pdf file in your browser.

Download Tax Receipt (Microsoft Word) - Downloads a Word document.
- This option will only display when using a Donation Letter template.
- This option will only display when using a Donation Letter template.
- Click Envelope on the donation record to generate a .pdf file that contains a formatted envelope for the donation.
Generate Tax Receipts in Bulk
To generate tax receipts in bulk in CommunitySuite:
- Navigate to the Donations page.
- Click the Receipt bucket.
- Click Tax Receipts in the left-side menu.
- Check the box for the receipts to be processed.
- Select an action from the Receipts Actions drop-down menu, and then click Submit.
- Print Receipts (pdf) - Use to generate a .pdf document.
- Print Receipts (word) - Use to generate a Word document.
- Print Envelopes - Use to generate a .pdf document that contains formatted envelopes for each donation.

Print Labels - Use to generate a .pdf document that contains mailing labels for each donation.
- The label format is Avery 5160, 30 labels per page.

Email Receipts - Use to email tax receipts to the donor profile that made the donation.
- If the donor profile does not have an email address, does not have an email address marked as Primary, or if their profile is marked Do Not Email, you will need to edit the profile and try again.
- A background job will be created. The job status will be listed in the Recent Jobs section.
- Review the generated tax receipts and navigate back to the Unsent Tax Receipts page.
- Check the box for the applicable receipts to be marked as sent.

Mark as Sent - Use to remove the donations from the Unsent Tax Receipts list and update the Tax Receipt on the donation to Sent.

- Select Mark as Sent in the receipt drop-down menu, and then click Submit.
The Tax Receipt will be marked as sent on each donation record.
