After a donation is recorded in CommunitySuite, you can generate and send tax receipts individually or in bulk.
If you have created and enabled a tax receipt template, CommunitySuite will use your template. If not, a stock tax receipt will generate using donation_tax_header and donation_tax_footer content blocks.
Generate Tax Receipt
- Navigate to a donation record.
- Click Tax Receipt on the left-side menu.
- Choose how you'd like to send the tax receipt and click that option.
- Email to - Email to an email address on the profile. Each email address in the profile will display in this menu.
- Email to a new address - Email to an email address that is not in the profile. You'll be prompted to type it in if you select this option.
- Print Tax Receipt (pdf) - Opens as a PDF in your browser.
- Download Tax Receipt (Microsoft Word) - Downloads a Word document.
- This option will only display if you're using a Donation Letter template.
- This option will only display if you're using a Donation Letter template.
- Click Print Envelope on the left-side menu if you'd like to generate a PDF document that contains a formatted envelope for the donation.
Generate Tax Receipts in Bulk
- Navigate to the Donations page and click the Receipt bucket.
- Click Tax Receipts on the left-side menu.
- By default, all Unsent Tax Receipts are selected. Remove the check from receipts you don't want to process.
- Use the Receipt Actions drop-down and select Print Receipts (pdf) or Print Receipts (word), and then click Process.
- Click [Yes] to confirm.
- The job will be listed in the Recent Jobs section. Click Tax Receipts in the left-side menu.
- By default, all Unsent Tax Receipts are selected. Remove the check from receipts you don't want to continue processing.
- Use the Receipt Actions drop-down and select the next process you want to complete, and then click Process.
- Print Envelopes - Use to generate a pdf document that contains formatted envelopes for each donation.
- Print Labels - Use to generate a pdf document that contains mailing labels for each donation.
- The label format is Avery 5160, 30 labels per page.
- Email Receipts - Use to email tax receipts to the donor profile that made the donation.
- If the donor profile does not have an email address, does not have an email address marked as Primary, or if their profile is set to Do Not Email, you will need to edit the profile and try again.
- Mark as Sent - Use to remove the donations from the list of Unsent Tax Receipts and update the Tax Receipt on the donation to Sent.
