Subfund is a setting on a fund record that allows an association between two funds in a parent/child style relationship. A subfund establishes a connection to a parent fund for reporting and/or fund statement purposes. There are no limits to how many children a parent fund can have. However, subfunds are for reporting purposes only and do not actually affect the accounts.
Set Up a Subfund
- Navigate to the Funds page.
- Enter the fund name in the Search Funds field and select the Fund you want to act as the subfund (child fund) from the drop-down list.
- Alternatively, click List in the left-side menu to view a list of all funds. Click the fund ID of the fund you want to act as the subfund.
- Alternatively, click List in the left-side menu to view a list of all funds. Click the fund ID of the fund you want to act as the subfund.
- Click Edit in the left-side menu.
- Enter the name of the parent fund into the Subof Fund field.
- Scroll to the bottom of the page, and then click Save.
This setting only affects how a parent fund is reported with its subfund(s). The subfund totals will be wrapped up under the parent fund with the parent's fund balance being inflated with the subfund's totals. This affects financial reports and fund statements. This does not affect the amount reported on the fund record.
Run a Report from the Financials Page
If you are running financial reports for your entire site, then you can view the subfund using this option. In your financial reports, the subfunds will be rolled into one line item with the parent fund showing on the report.
- Navigate to the Financials page and click the report you want in the left-side menu.
- Run the report.
- Financial Reports Overview provides guidance for each report.
- In this example. the Balance Sheet report is selected.
- Click Show Fund in the left-side menu.
- Click Show/Ex SubFund in the left-side menu to parse out the subfund(s) from the parent fund.
- In this example, Parks Conservation Fund is the parent fund and Park Support Fund is the subfund.
- Click Rollup SubFund in the left-side menu to rollup the subfund into the parent fund.
- In this example, Parks Conservation Fund is the parent fund and Park Support Fund is the subfund.
Run a Report from the Parent Fund
- Navigate to the Funds page.
- Enter the fund name in the Search Funds field and select the Fund you want from the drop-down list.
- Alternatively, click List in the left-side menu to view a list of all funds. Click the fund ID of the fund you want.
- Alternatively, click List in the left-side menu to view a list of all funds. Click the fund ID of the fund you want.
- Click Reports in the left-side menu.
- Click the report name in the left-side menu.
- Run the report

- In this example. the Balance Sheet report is selected.
- Click [Yes] to include the subfund(s) or click [No] to exclude the subfunds.
- If you selected [Yes] to include subfunds, they will be listed on the report.
- If you selected [Yes] to include subfunds, they will be listed on the report.

Subfunds do not pool the funds for admin fee groups.
Subfunds do not affect the books; they are used for reporting purposes.
