A tribute record represents a person or group being recognized for their contributions in life, present or past. A tribute record tracks the tribute subject, whether they are being honored or memorialized, and whom to notify when donations are made to the tribute.
When a tribute record is created, it is then available to select on a donation and can be made available to select in the Giving Hub. Add notify information to track a notify contact, a person who receives notifications when a donation is made, and set the frequency range of donations to include with each notification.
It is recommended to create a tribute record and add existing profiles as notify contacts first. Then add that existing tribute record to all relevant donations.

Scenarios for Using Tribute Records
Use a Tribute record to recognize a person or group's contributions while keeping interested parties informed:
- A donor makes a memorial or honor gift and asks to notify the family or honoree.
- Multiple donations need to be linked to the same tribute over time, such as an ongoing memorial fund.
- Notification letters need to be generated and tracked for tribute-related gifts.
Create a Tribute Record
Create a tribute record by specifying a name and selecting the type of tribute, then you will be able to configure the tribute further.
To create a tribute record:
- Navigate to the Tributes page and click Create in the left-side menu.
- Complete the applicable Create Tribute information, and then click Create.
- Name - Person or group being honored or memorialized.

Type - Select in memory or in honor of the tribute.
- memory - A memorial tribute created in memory of someone who has passed.

honor - An honor tribute recognizes a living person for their contributions or achievements.
- Complete the applicable Edit Tribute fields, and then click Save.

Status - Determines whether the tribute is displayed publicly on the Giving Hub or is marked as private for internal access only.
- The Search Public Tributes setting must be enabled to allow public tributes to be visible. Public tributes must also have a notify option added to them to allow for them to appear on the Giving Hub.
- Template - Select the template to use for notifications about donations received for this tribute. If no template is selected, CommunitySuite will use the default template.

Lock Notify - When checked, neither donors making online donations nor staff entering gifts manually can add or change the notify contact information for the tribute. Lock Notify is typically left unchecked. It is most useful when a tribute has a static notify list that should not be modified, such as a long-standing memorial tribute with an established family contact.

Status - Determines whether the tribute is displayed publicly on the Giving Hub or is marked as private for internal access only.
The next step is to add notify contacts to the tribute record before it will be ready to link to donations.
Add Notify Contacts to a Tribute Record
Two options are available when adding a notify contact to a tribute record: Add Notify Profile that adds an existing profile in CommunitySuite, or Add Notify (Non-Profile) that adds contact information to the tribute record without creating a profile. Adding notify contacts is optional. However, creating a tribute record without any notify contacts is uncommon, as the tribute will serve only for record-keeping purposes. In these cases, no letters will be generated since there is no one to notify.
Add Notify Profile
Add Notify Profile connects the tribute to an existing CommunitySuite record. This allows for greater functionality system-wide including reporting. It is recommended to create a profile first for tribute notify contacts and then add them to a tribute record.
To add a notify profile to a tribute record:
- Navigate to the Tributes page.
- Enter the tribute name in the Search Tributes field and select the tribute from the drop-down list.
- Alternatively, click List in the left-side menu to view a list of all tributes. Click the ID of the tribute.
- Alternatively, click List in the left-side menu to view a list of all tributes. Click the ID of the tribute.
- Click Add Notify in the left-side menu.
- Select a profile to notify or enter contact information for an individual or organization to notify.
- To select a profile, enter the profile name in the Search Profiles field and select the profile from the drop-down list.
- To select a profile, enter the profile name in the Search Profiles field and select the profile from the drop-down list.
- Complete the applicable Edit Tribute information, and then click Save.
- Method - Method for notifications to be sent, mail or email. Method can also be left blank and chosen at time of bulk sending notifications.

Frequency - Sets a lookback period based on how often you plan to send notifications; it does not generate notifications automatically or send a reminder. Controls which donations appear in the Tribute bucket based on donation date for notification purposes. After the frequency lookback range has passed, the donation will leave the Tribute bucket as needing to be sent out. If you do not want a lookback window applied, this can be left blank.
- No Frequency - This tells CommunitySuite to include all unsent donations regardless of donation date, keeping them in the Tribute bucket indefinitely until the notification is sent.
- Daily - If you plan to send donation notifications daily. Includes donations made within the past day, ensuring only the most recent contributions appear in the Tribute bucket for notifications.
- Weekly - If you plan to send donation notifications weekly. Include donations made within the past week in the Tribute bucket.

Monthly - If you plan to send donation notifications monthly. Includes donations made within the past month in the Tribute bucket.
- Repeat steps 3-5 to add as many profiles or other individuals or organizations to notify as needed.

Add Notify (Non-Profile)
Add Notify (Non-Profile) captures the person or organization's contact details on the tribute only. Use this option if the contact person does not already exist in CommunitySuite, and you do not want to add them or be able to track them beyond the tribute record. A profile will not be created in CommunitySuite and the non-profile contact cannot be converted to a profile.
Before adding a non-profile notify contact, it is recommended to search CommunitySuite profiles first to be sure you do not already have a profile for the person or organization. The potential to have a notify contact that duplicates a profile record is high, but this will not be flagged in the Duplicates area of Profiles.
To add a notify non-profile to a tribute record:
- Navigate to the Tributes record, see section above for searching or viewing a list of tributes.
- Click Add Notify in the left-side menu.
- Complete the applicable Add Notify (Non-Profile) information, and then click Add.
- Complete the applicable Edit Tribute information, and then click Save.

View Added Contacts
The tribute notify contacts will now appear on the tribute record in the Notify section. If a profile was added, there will be an ID number included in the ProfileID column. If a non-profile tribute contact was added the ProfileID column will be blank.

Edit a Tribute Record
To edit a tribute record and its notify contacts:
- Navigate to the Tributes page.
- Enter the tribute name in the Search Tributes field and select the tribute from the drop-down list.
- Alternatively, click List in the left-side menu to view a list of all tributes. Click the ID of the tribute.
- Click Edit in the left-side menu.
- Make the necessary edits, and then click Save.

ProfileID - Click Unlink to unlink a profile from this tribute.
- The individual or organization remains on the notify list, but their profile is no longer connected. The profile's contact data remains on the tribute record but is no longer updated when the profile record is updated, so it will also need to be updated here for any future changes once unlinked.
- If a profile is linked, edit the necessary information on the profile record instead and it will be updated for the notify contact.
- If the notify contact is a non-profile, update the name and contact information fields.
- Click Delete to remove a profile or other individual or organization non-profiles from the notify list.

ProfileID - Click Unlink to unlink a profile from this tribute.
Delete a Tribute Record
When a tribute is deleted, the tribute record is removed from the Tributes area. On all related donation records the link to the tribute is converted to plain text in the Tribute field. Tributes can be deleted individually or in batch.
Delete an Individual Tribute Record
To delete an individual tribute record:
- Navigate to the Tributes page.
- Enter the tribute name in the Search Tributes field and select the tribute from the drop-down list.
- Alternatively, click List in the left-side menu to view a list of all tributes. Click the ID of the tribute.
- Click Delete in the left-side menu.

Click Yes to confirm.
The tribute is now deleted from the Tributes area. If any donations were linked, the tribute name has been converted to non-notify information noted in the Tribute field on the related donation(s).
