A Profile Payment has an open balance that can be applied to a combination of invoices, donations, or tickets. These options will be visible in red in the left-side menu of the profile payment. Profile payments can allow you to split gifts into tax-deductible and non-tax-deductible portions.
Apply To Invoice
Use this option if an invoice already exists for the profile and the profile payment balance needs to cover part or all of the invoice amount.
- On the profile payment record, click Apply to Invoice in the left-side menu.
- Check the box in line with the invoice to which the payment will be applied, and then click Apply.
- Checking the box will populate the full invoice amount.
- The apply amount field can also be edited to specify how much of the unapplied amount is to be allocated.
When completed, the invoice will show on the profile payment record.
Create Invoice
Use this option if the balance of the profile payment needs to be applied to an invoice, but the invoice does not yet exist within CommunitySuite.
- On the profile payment record, click Create Invoice in the left-side menu.
- Enter the applicable Create Quick Invoice information, and then click Create/Post/Apply.
- Invoice Date, Description, and Amount are required fields.
- Invoice Date, Description, and Amount are required fields.
When completed, the profile payment will be applied to the new invoice and it will show on the profile payment record.
Create Donation
Use this option if the profile payment needs to be applied to a donation, but the donation does not yet exist within CommunitySuite. This option can also be used to apply a donation to a non-ticketed event, such as a fundraiser.
- On the profile payment record, click Create Donation in the left-side menu.
- Enter the applicable Add Donation information, and then click Process.
- The donation amount will auto-populate to match the total unapplied profile payment amount.
- Donation Type is a required field.
When completed, the donation will show on the profile payment record.
Buy Ticket
Use this option if the profile payment is to be used for the purchase of a ticket from a campaign.
- On the profile payment record, click Buy Ticket in the left-side menu.
- Select the ticket to be purchased.
- The available tickets will be grouped by campaign.
- The available tickets will be grouped by campaign.
- Enter the number of tickets to be purchased, and then click Process.
When completed, the Donations/Invoices and the event ticket associated with the campaign will show on the profile payment record.
