For a process using the LOI stage, you have workflow options for requests within that process. Requests are most commonly moved from the completed LOI stage to the application stage. In some situations, however, you might choose to skip the application stage for certain requests and move right into approving the requests.
The steps below describe your administrator workflow options for requests in the LOI submitted status (meaning requests for which the applicant has submitted the LOI form).
- If no further actions are needed from the applicant on the LOI, mark the LOI complete.
- This can be done when viewing the LOI form for a request. Click LOI Complete at the bottom of the page.
- This can also be done in batch from the LOI Submitted workload page.
- This can be done when viewing the LOI form for a request. Click LOI Complete at the bottom of the page.
- If you are using evaluations at the LOI stage, assign evaluators to the requests.
- Close the evaluations once the review period is complete.
- Close the evaluations once the review period is complete.
- At any point, you can deny requests that will not move forward in the process.
- For a request that will move forward in the process, you have two options:
- You can assign the application form to the applicant.
- This can be done when viewing the LOI form for a request. Click Assign Next Form at the bottom of the page.
- This can also be done in batch from the LOI Complete or LOI Evaluation Closed workload pages.
- This can be done when viewing the LOI form for a request. Click Assign Next Form at the bottom of the page.
- You can approve the request, skipping the application form.
- This can be done from the Request Summary page for requests in the LOI Complete, LOI Evaluations Assigned, or LOI Evaluations Closed statuses.
- This can be done from the Request Summary page for requests in the LOI Complete, LOI Evaluations Assigned, or LOI Evaluations Closed statuses.
- You can assign the application form to the applicant.
If you choose to assign the application form to the applicant, they will see the form appear on their dashboard with an Edit Application link.
If you've configured the To Applicant (When Assigned) automatic email at the application stage for the process, the applicant will receive that email as soon as you click Assign Next Form. If you haven't configured the automatic email, it's important to inform the applicant that the application form is available (e.g. by sending a manual email).
