Profile Types are used to help segment, filter, and prioritize your database of profiles. For example, if multiple profiles have a Prospective Grant Reviewer profile type, you could filter a list that only included profiles with that profile type or a list that excluded profiles with that profile type.
We recommend using profile types to capture specific information about profiles that is not captured elsewhere in the system. An example of something that isn't captured elsewhere is a customized list of VIP community members. An example of data that is already tracked and reportable is donation amount or grant amount.
There are six areas users can define in profile types.
Profile Types
- Field to capture information about a group of profiles. Use of this field varies widely and includes any type of profile information you may want to track and report.
- Profiles can have many profile types.
- CommunitySuite has some pre-populated options. These profile types can be deleted or edited.
- Examples include personas (Early Career Millennial, Gen X'er, etc.), VIP, Giving Society Member, and Seasonal Resident.
Profile Fund Categories
- Profile fund categories define the relationship between a profile and a fund. These are for reporting purposes and can provide context to what type of relationship the profile has to the fund. They do not drive any functionality. Fund advisor statement delivery and fund advisor portal access are provided through the fund advisor designation.
- Examples include Fund Founder and Successor Advisor.
Address Types
- A profile can have multiple addresses. This field enables you to assign an address type to addresses.
- Examples include Home, Seasonal Home, and Business.
Email Types
- A profile can have multiple emails. This field enables you to assign an email type to addresses.
- Examples include Personal and Business.
Engagement Strategies
Genders
- Field to capture gender and pronouns.
- CommunitySuite is pre-populated with Female and Male. These gender descriptions can be deleted or edited.
Create Profile Types
- Navigate to the Profiles page and click Profile Types on the left-side menu.
- Click Add Type (profile type), Add Fund Cat, Add Address Type, Add Email Type, Add Engagement Strategy, or Add Gender on the left-side menu.
- Enter a description for the selection made in Step 2, and then click Save or Create.

- When adding an address type, checking the box next to Work will include the profile's Work Name and Work Title in the address block when the work address is used.
Delete, Archive, or Reassign Profile Types
When profile types, profile fund categories, address types, email types, engagement strategies, or genders are deleted, there is no record of these variables on profiles outside of logs.
Address Types
- Address types can be deleted, but each address that has that type needs to have another address type assigned. This can be done in bulk.
- Navigate to the address type you want to delete and click Delete on the left-side menu. The system will tell you how many profiles have that address type and ask which alternate address type the addresses should be assigned.
Email Types
- Email types can be deleted.
- Navigate to the email type you want to delete and click Delete on the left-side menu. The system will tell you how many profiles have that email type and will ask you if you want to 1) re-assign an alternate email type to those profiles, or 2) delete without reassigning.
Engagement Strategies and Genders
- Engagement strategies and genders can both be deleted.
- Navigate to the option you want to delete and click Delete on the left-side menu. The system will tell you how many profiles have that engagement strategy or gender assigned and will ask you to confirm if you want to delete.

Profile Types
- Profile types can be deleted or archived.
- To delete, navigate to the option you want to delete and click Delete on the left-side menu. The system will tell you how many profiles have that profile type assigned and will ask you to confirm if you want to delete.
- To archive, navigate to the option you want to delete and click Archive on the left-side menu.
- If you want to retain this as historical data, click Archive.
- If you want to re-assign the profiles to another profile type, select another profile type from the drop-down menu and then click Archive. The original profile type will be deleted.
