Once all necessary actions have been taken on an approved request, the request can be closed to keep dashboards clean and focused on requests that still require action. Requests can be closed individually or in batch. After a request is closed, supporting documents can still be uploaded and comments can be recorded, but the request status would need to be reverted to perform other actions. By default, the system will not allow requests with follow ups in any status other than complete to be batch closed.
User Role: Administrator, Grants Manager
When to Close Requests:
- All follow ups have been completed and no further actions are needed on the approved request.
- Completed requests need to be removed from active workload pages to focus on pending work.
- Final reporting has been submitted and all installments have been paid for a grant or scholarship award.
Close a Request Individually
To close a single request from the Request Summary page, access the request and complete the closure process with an optional comment.
- Navigate to the Request Summary Page for the request.
- Click Close Request.
- Click Add Comment to add an optional request comment.
- Click Close.
- If the request has follow ups in any status other than complete, a warning message displays.
- Click OK to continue.
- The request will be closed, and all follow ups assigned to the request will be marked complete.
- Click Cancel to not continue.
- Click OK to continue.
Close Requests in Batch
To close multiple requests at once, select the requests from a workload page and use the batch close action.
- From the Dashboard, click the workload page that contains the requests to close.
- If no follow ups were assigned to the requests, they can be closed from either the Approved or All Open Approvals workload pages.
- If follow ups were assigned to the requests, they can be closed from the Follow Ups Complete or All Open Approvals workload pages.

Requests with Universal Application follow ups cannot be closed in batch from the Follow Ups Complete workload page. Instead, they can be closed in batch from the All Open Approvals workload page.
- Check the box for each request to close.
- Click Batch Actions, and then click Close Requests.
- Complete the applicable Batch Close fields, and then click Close Requests. The Warning Message box is a required field.
- Close Comment - Enter an optional comment which will be recorded for all requests in this batch.

Warning Message - Check the box indicating understanding of the warning message. There is no batch undo for closing requests in a batch.
Batch Close Requests in All Follow Up Statuses
To batch close requests with assigned follow ups in statuses other than complete, enable the Batch Close All Follow Up Statuses setting in your site before following the steps in the Close Requests in Batch section.
Refer to the Batch Close Requests section for instructions on batch closing requests. After clicking Close Requests, the pop-up contains an additional checkbox:

Close Requests in all Follow Up Statuses - Check this box to close requests in this batch that have follow ups in statuses other than complete.
- If checked, the follow ups for those requests will be marked complete and the requests will be closed.
- If the box is not checked, requests in this batch will only be closed if they do not have follow ups assigned or if all assigned follow ups are already marked complete.
Access a Closed Request
Closed requests can be accessed from the applicant's User Summary page, the Organization Summary page, and the Requests and Decisions page. Click the request's project name to access the Request Summary Page for a closed request.
