Credit a Payment

If a payment recorded for a request needs to marked as credited, such as if the payment was returned by the grantee or award recipient, you can enter a negative payment to reflect the situation. This will decrease the amount paid and increase the balance for the request.

This is the appropriate action to take if you want to show that a payment was returned/credited and keep a record of the original payment. 

If you need to simply remove a payment that was recorded and do not want to retain a record of the original payment, refer to Delete a Payment instead.

An installment can also be canceled after crediting a payment on it. Refer to Cancel an Installment for instructions. 

 

If you utilize the integration with CommunitySuite, adjustments to payments should be handled within CommunitySuite, not within Grant Lifecycle Manager (GLM)/Scholarship Lifecycle Manager (SLM).

  1. Navigate to a request on a workload page or the Requests & Decisions search page.
  2. Click the Project Name to reach the Request Summary page.

  3. Click the Award Details tab.

  4. Click the installment that contains the payment to credit.

  5. Click Make Payment.

  6. Enter the payment amount as a negative number. Enter the payment date and any comments regarding the situation.
    • Consider making the payment date the date the payment was returned.

  7. Click Make Payment.

The amount paid and balance for the request will automatically update.

Zero Dollar Balance

After a negative payment is entered on the installment to show that a payment was returned, the balance will increase. The balance can then be zeroed out to show that nothing is owed.

Entire Payment Returned

  1. Click the installment that contains the credited payment.credited insallment
     
  2. Change the Installment Amount to zero.

  3. Add a new installment for the total award amount.new installment
     
  4. Cancel the new installment.

The balance on the request will now be zero.

Partial Payment Returned

  1. Click the installment that contains the credited payment.

  2. Change the Installment Amount to the award left after subtracting the returned portion of the payment.

  3. Add a new installment for the amount returned.

  4. Cancel the new installment.

The balance on the request will now be zero.
