When the GL line has NO check number: the matching line must also have NO check number and match based on date and amount.

Bank Reconciliation Import Match
The bank reconciliation process has been enhanced with automated transaction matching for imported bank transactions.
Bank Reconciliation Import Enhancement - Automated Transaction Matching
We have significantly improved the bank reconciliation process with new automated matching capabilities for imported bank transactions, making reconciliation faster and more efficient. The new automated matching system intelligently pairs imported bank transactions with existing system records based on multiple criteria. This is a streamlined process for importing and reconciling bank transactions directly within the system.
New Reconciliation Tools:
Quick Voucher Creation: Generate vouchers directly from unmatched transactions without leaving the reconciliation screen—located conveniently next to the standard Add button.
Transaction Cleanup: The Delete option allows the removal of unmatched imported transactions that are not needed for reconciliation.
Flexible Matching: Handle complex scenarios where one bank transaction needs to be reconciled against multiple system entries.
Once the user has imported transactions, from the left-side menu, this feature automatically attempts to match all imported transactions against your system records using: Transaction Date, Transaction Amount, Debit, or Credit type. For transactions that cannot be matched automatically, users retain full control with the ability to manually match one imported transaction to multiple system transactions when necessary. All transactions that could not be matched automatically appear at the bottom of the reconciliation screen for easy review and manual handling.
Things to Note: Vouchers created through Quick Voucher during reconciliation bypass the standard AP approval workflow. All unmatched transactions are automatically organized at the bottom of your reconciliation screen for systematic review.

Feature: Copy Note
We have added a new feature that allows users to copy an existing Note to other records.
How It Works:
On a Note record, a new “Copy” option is now available in the left-side menu. Selecting Copy opens a Search input screen where users can enter identifiers such as Profile, Fund, Opportunity, Campaign, or Transaction ID. This search uses the same Global Search capabilities already available in the system. Once an item is selected, the system will automatically create a new Note on that record with the same content. Users can continue to add the same note to other items by selecting Copy again.
Why This Change Was Made:
To improve data hygiene by avoiding manual duplication or deleting errors. To provide a simpler, more efficient workflow for associating the same note across multiple records.

- Smart Simple Integrations: We are excited to announce a powerful new integration with Smart Simple. This integration enables seamless data exchange between your CommunitySuite and SmartSimple systems. This upgrade simplifies operations and enhances collaboration across your financial and grants management processes. If not already set in SmartSimple, users must manually assign the Grantee and Fund in CommunitySuite. If the Grantee and Fund were pre-set in SmartSimple, users can select “Create Grant” from the left-side menu in CommunitySuite. This action will move the grant to the New bucket, allowing users to continue with their standard grant processing workflow. Grant status and payment details are automatically integrated and reflected in both SmartSimple and CommunitySuite. If additional payment lines are added but the total grant amount remains unchanged, updates will sync between the systems. If the total grant amount changes, either: A new grant must be processed, or the current grant should be deleted from the New bucket and resent from SmartSimple after updates. This enhancement significantly reduces manual data entry and streamlines the end-to-end grant lifecycle between SmartSimple and CommunitySuite. For further guidance, contact Foundant Support or SmartSimple support. Smart Simple Global Administrators can access this new integration by navigating to: Global Settings > Integrations, select the Data Exchange Type of New, and under the export/import settings, choose the new CommunitySuite option. Note data values that may be exchanged are prescriptive.

Campaign Unified Ticket: Unified Ticket Workflow - Instead of individual ticket fields, everything is now located on one registration page. On the event, constituents will have the ability to select a quantity for each ticket type and add an additional donation, if enabled. There will be a new order summary box on the right-hand side, so that the registrant can easily track their purchases or cancel a line. The checkout workflow will remain the same. Individual tickets have been impacted by this change, and some of the individual ticket fields have been moved to the campaign's Details tab.
New Ticket Fields on the Details Tab:
-Ticket Additional Donation: This field now applies to the overall campaign and is positioned below the list of tickets.
-Ticket Additional Donation Label: A customizable label that users can customize, if additional donations will be accepted for the campaign.
-Ticket Notes: The Ticket Notes (including labels and descriptions) have been moved to the campaign level. This means users will update them via the Details tab rather than on individual tickets.
-Ticket Notes Label: A customizable label for users to customize for the campaign’s note section on the unified ticket.
-Ticket Add to Cart Label: This label will appear on the button in the header box and the button on the unified ticket cart.
Updated Ticket Structure:
-Ticket Header: The previous ticket header has been replaced with the Ticket Description field, which allows a description to appear under each ticket type.
-Private Tickets Displayed: Private tickets URL will now also be displayed above the individual ticket screen.
This change should streamline the ticket management process and make it easier for users to access all ticket-related information in one place, reducing the need to navigate between individual ticket fields for a quicker checkout workflow. Templates for events will still be managed in the same manner. Each ticket type can have a template, or the overall campaign can have a template. Users will have the ability to enable the Unified Ticket workflow in Campaign Settings. This will allow more flexibility with this rollout during summer events. No permissions were impacted by this release. -
Note Files: Added the ability to attach a file to a note. Once a note is created, the user will see a new left-side menu, Attach File. The Attach File functionality will allow for category selection, external files, description, and sharing the file. On the note record, users will see files attached under Who and above the text.

Fundraising Campaign Type: We have introduced a new Fundraising campaign type in CommunitySuite. This option allows users to create campaigns that do not require tickets, but still accept donations. This is ideal for organizations looking to fundraise without hosting a ticketed event. It enables easy tracking of income and expenses associated with the campaign, making it perfect for general fundraising efforts, donation drives, or cause-based initiatives.
Key Details:
-New Campaign Type: Users can now select Fundraising as a campaign type when creating a new campaign.
-Donation-Only Focus: Fundraising campaigns are structured to accept donations exclusively, without the need for other campaign activities.
Layout and Design:
-The campaign layout will mirror the fund listing layout for a familiar and streamlined donor experience.
-Donation amounts will display based on Giving Levels configured in Portal Options, Giving Hub settings. If no levels are set, only a Donation input box will appear.
Tax Receipts:
-Donors will receive tax receipts based on the associated fund’s receipt settings, or the default tax receipt if none are specified.
Profile Management: Campaign profiles can still be invited manually. If a donation is received from someone who hasn’t been invited, the donor will be automatically added to the campaign’s profile list.
Benefits: Increased flexibility for organizations to run donation-focused campaigns, enhanced donor experience with clear giving options and tax receipts, and simplified profile tracking for campaign organizers.- Resource:

This new feature simplifies sharing and promoting items with unique URLs or any of the Giving Hub pages. QR code creation is located as a hyperlink at the end of the URL for individual listings on grant catalogs, fund settings, campaign events, and nonprofits. The System URLS left-side menu on the home page has the QR code for the main Giving Hub Pages.

- Admin Fees - Resolved Issue: Add Exclude Accounts Impacting Fund Quarter Averages.
- Engineers have reviewed an issue affecting the calculation of fund quarter averages when the "Exclude Accounts" option is used for bank or investment accounts with trailing quarters. Calculations are correct, but users may experience a calculation difference when using Add Exclude Accounts with trailing quarter or year data. When Add Exclude Accounts was being used on an Admin Fee, the system began pulling in trailing quarter or year data as part of the admin fee calculations. This could result in changes to the fund’s quarter average values.
Clarification:
-If the Admin Fee Type does not have the "Exclude Accounts" option enabled, no changes will occur — unless the underlying account types have changed historically.
-This issue specifically impacted configurations using both excluded accounts with trailing data.

USPS Integration: We have added the ability to enable USPS address validation for both profile creation and editing. A new setting has been introduced in the Profiles Settings for US-based sites, called Enable Address Validation. Once enabled, any edited or newly created profile will undergo validation through the USPS address validation API. This integration ensures that address formatting and casing are accurate and consistent, helping to maintain cleaner data within the CRM system. Addresses will validate based on the street address and state. The system will not validate fake addresses as unknown in the system. We will be adding integrated profiles with GLM in an upcoming release.
Key Functionality:
- Address Validation Options: Users will be presented with three options when validating an address: Replace with validated address: The address will be automatically corrected to match the USPS validated format. Do not replace, mark as validated: The address remains unchanged, but it will be marked as validated. Do nothing: No changes will be made to the address. Profile Saving: Once an address validation option is selected, the profile saving process will complete as usual.
Things to Note:
- Address Format: USPS validates addresses in all capitalized letters, and the saved address will be stored in this format. Bulk Actions: Bulk actions will not be available with this API integration. Integrated Profiles: For integrated profiles, address verification will not occur during the mapping process.
This new feature ensures that address data is validated against USPS standards, helping users maintain up-to-date and accurate information in the system, contributing to better data hygiene.- Resources:

This change significantly improves security by limiting who can log in with an email and controlling which profiles are visible to the user. The enhanced login flow helps ensure that users only access profiles relevant to their designated roles. The email login method is now limited to profiles that have a designation enabled for Portal access. If the email entered is not associated with any profile, no pin will be sent to the user. If the primary email on the profile does not have a designation enabled for the Portal, the profile will be taken to the profile page. If the email is valid but does not match the expected criteria, the user will be directed to the “Enter your PIN” page. The messaging will clarify that "If we have the email in our system, we will send you a pin." Logins will expire after one day following the same process as a logged in user. If a user has a username and password set up, they will no longer be able to login with just the email as long as there is a profile designation. If a profile has a user designation, email login will not sent a pin.
Users with a username and password can still log in normally. If the profile has no designations, the user will be directed to their own profile page and will not be able to see other profiles.
Portal-Profile: The profiles shown on the profile selection page are now determined by the designation linked to the email used for login. If a user logs in with an email associated with a profile that has a designation (e.g., Fund Advisor), only profiles with the same primary email and corresponding enabled designations will be displayed.
This change ensures that users can only view profiles with designations that are enabled on the portal.

Account names should be limited to number, letters (upper or lower), underscore, dash, or periods. Using other special characters in the account name can cause fund statements to not populate and create performance issues.

- (06-04-2025) Smart Simple Integrations: We are excited to announce a powerful new integration with Smart Simple.

- (05-01-2025) Resolved an issue where grant requests were being blocked from integrating with GLM/SLM due to a parsing error: Unexpected character encountered while parsing value: <. Path '', line 0, position 0. This occurred when the system attempted to parse an unexpected HTML/XML response. The integration now correctly handles response formats, ensuring smooth data exchange with GLM/SLM.

(4-17-2025) Login: We have implemented an enhancement to the CAPTCHA feature on the login page, aimed at improving security and protecting against automated login attempts. This update introduces a more robust security measure to ensure that only legitimate users can access their accounts.
Key Improvements:
-Enhanced Security: The updated CAPTCHA system strengthens protection against brute force and automated login attacks, providing a more secure authentication process for all users.
-No User Action Required: The enhancement has been automatically integrated into the login flow, so no additional steps are needed from users.
This enhancement ensures that login attempts are safeguarded from malicious activity, offering a more secure experience for all users accessing their accounts. - (03-12-2025) Login: We have implemented an update to the Portal login process to enhance security and provide more controlled access based on profile designations.
- (03/05/2025) Password Policy: Updated the password last change date and expiration handling. This will impact the initial value until the next password change based on password policy. This will track the last date that the password was changed even if the users are not enforcing the expiration dates. This update was to help enforce the password expiration dates more effectively.
- (02-04-2025) Login: Option to display password for login is now available.
- (01-03-2025) Outlook: Finished certification with Microsoft. Users will now be able to search the Outlook App store and find Foundant for Outlook. Once they have this app, they can create api keys in Me within CommunitySuite and follow the instructions for creating API Keys.
Me-API Keys: Removed the manual manifest instructions for enabling Outlook. This step is no longer necessary with certification.
Accounting
Accounts
-
(11-05-2025) Accounts: Updated Cash Account closure workflow now checks if the account is assigned to any funds. Users must reassign the fund to a new Cash Account before closing the original account, thereby preventing online giving transaction failures that would occur if a fund's Cash Account were closed while it is still in use.
(10-28-2025) Accounts: Updated the error message on Accounts when applying an investment level. If the percentages total more than 100%, a job error will post. This can happen due to migration issues. Please reach out to support if you receive this error.
(09-15-2025) Accounts: Added the ability for users to relabel and create Account Types. This new feature is found in the Accounts left-side menu, Account Types. Once this is selected, the user will see the list of Account types and the accounts associated with that type. Account types can be reordered by using drag and drop within the type. Users will be able to create, edit, or delete the account types.
- (06-11-2025) Vouchers - Statement: Resolved an issue where the ability to pay Statement Vouchers was not updating the record status from Paid. Previously, clients could mistakenly apply checks to Statement Vouchers, which should not be allowed. Additionally, when a check was unapplied or deleted, the associated Statement Voucher incorrectly reverted from 'Paid' to 'Posted'. This behavior has been corrected to ensure proper handling of voucher status updates.
- (05-07-2025) Accounts: Resolved an issue where, when setting Investment Levels on an account, users were experiencing a timeout error at times. Setting the investment levels will run as a background job to apply the correct calculations, which may cause a delay in the investment level appearing once saved. Users should be able to see the level once the job is complete.
- (01-03-2025) Resolved an issue with foreign currency accounts. Users were unable to edit any attributes about the account once a transaction has been processed. This fix will allow users to edit information on the account, except for the currency. To make changes to the account's currency with transactions, the account would need to be closed and a new one created.

Bank Reconcile
-
(10-15-2025) Bank Reconciliation: Resolved an issue when using the reverse bank reconcile it would throw the client into a loop. This was caused by a balancing issue. Resolved an issue with the cancel button not canceling correctly.
(10-03-2025) Bank Reconciliation: Updated the matching logic for bank reconciliation to improve accuracy when matching transactions with and without check numbers. CommunitySuite now uses separate matching rules based on check number presence. When the General Ledger (GL) line has a check number: the matching line must also have a check number, check numbers must match, and amounts must match. When the GL line has NO check number: the matching line must also have NO check number and match based on date and amount. Previous behavior with the matching logic could incorrectly match check transactions with non-check transactions, causing reconciliation inaccuracies.
-
(10-01-2025) Bank Reconciliation Import Match: - The bank reconciliation process has been enhanced with automated transaction matching for imported bank transactions.

This will allow a user (with display and list permissions to Bank Reconcile) the option to approve the reconciliation. The user that approves the bank reconciliation must be different from the user that reconciled the account. If the account is unreconciled, the approval will be removed. Two additional columns, reconciled by and approved by, were added to the bank reconcile page. These columns will be populated by the user that reconciled and approved the reconciliation from this point forward. Historical reconciliations will display Foundant Technologies in the Reconciled By column.
Bank Reconcile - Log: Add the actions for reconcile, approve, and unreconcile to the logs.
Bank Reconcile - Notes and Files: Add a left-side menu option to add a note or file to a bank reconciliation. Notes and files will remain connected to the reconciliation if the account is unreconciled. If the reconciliation is cancelled, notes and files will be orphaned. This will require the user to add them again to the new reconciliation.
Bank Reconcile: Add a column to the Bank Reconcile List titled Status. The status will be "start" or "continue" depending on the status of the last reconciliation for that account. Admin Fees Enhancement: Lifetime Maximum Limits
Updated Admin Fees to accommodate lifetime maximums. This new field allows users to set a lifetime cap on an admin fee type, providing greater control over total fee accumulation across the account lifecycle.

- (06-25-2025) Admin Fees Update: Added Use QEV Values for percentage-based calculations

- (05-01-2025) Admin Fees: Added the ability to have zero-dollar periods in Admin Fee calculations. When enabled, periods with zero balances will be factored into the average, similar to how distributions are calculated. This feature is fully compatible with the Add Accounts and Exclude Accounts settings, ensuring accurate and customizable fee allocation.
- (04-16-2025) Admin Fees - Resolved Issue: Add Exclude Accounts Impacting Fund Quarter Averages.
- (04-02-2025)Admin Fees: We have enhanced the ability to process admin fees based on asset accounts. Users can now process admin fees tied to specific asset accounts by using Add Account in the left-side menu. Once the Add Account button is clicked, a list of the asset accounts can be selected. Updated the Exclude account option to allow for using trailing quarters as a calculation base.
The new functionality includes the following updates:
- Admin Fee Add Account: Users can now process admin fees tied to specific asset accounts by using the Add Account in the left-side menu.
- Exclude Accounts Option: If a user selects the "Exclude Accounts" option for an admin fee type, the trailing quarter option is now available.
These changes aim to provide more flexibility and control over admin fee processing.

When creating a distribution, a fund with a distribution start date set to 12/31/2024 will now only appear on the distribution fund list when the distribution post date is 01/01/2025 or later. The updated logic ensures that the distribution will not populate in the list before the post date even if the calculation date is earlier.
For example, if a distribution's start date is set to 12/31/2024, it will not show up on the distribution fund list until the post date is 01/01/2025.

tickets, but still accept donations. This is ideal for organizations

Layout and Design:

Tax Receipts:

can easily track their purchases or cancel a line. The checkout
workflow will remain the same. Individual tickets have been impacted

been moved to the campaign's Details tab.
New Ticket Fields on the Details Tab:

Notes
- (09-03-2025) Feature: Notes - Add Share to Note Import - IDEA LAB LIVE - Notes: Added the Share note column to the Note Import. This will allow better efficiencies when importing. These enhancements streamline the import process by giving users more control and visibility over sharing settings right from the start.
- (09-03-2025) Feature: Copy Note - We have added a new feature that allows users to copy an existing Note to other records.
- How It Works:
On a Note record, a new “Copy” option is now available in the left-side menu. Selecting Copy opens a Search input screen where users can enter identifiers such as Profile, Fund, Opportunity, Campaign, or Transaction ID. This search uses the same Global Search capabilities already available in the system. Once an item is selected, the system will automatically create a new Note on that record with the same content. Users can continue to add the same note to other items by selecting Copy again.
- Why This Change Was Made:
To improve data hygiene by avoiding manual duplication or deleting errors. To provide a simpler, more efficient workflow for associating the same note across multiple records.- Resource:

(04-02-2025) USPS Integration: We have added the ability to enable USPS address validation for both profile creation and editing. A new setting has been introduced in the Profiles Settings for US-based sites, called Enable Address Validation. Once enabled, any edited or newly created profile will undergo validation through the USPS address validation API. This integration ensures that addresses are accurate and consistent, helping to maintain cleaner data within the CRM system. Addresses will validate based on street address and state.

These updates provide users with a more comprehensive and holistic view of each alumnus's academic history and activities, reducing the need to navigate between multiple screens or tables, while offering greater flexibility to customize honors designations to match institutional requirements.
Alumni Designation Updates
Updated the alumni designation data layout with a consolidated table structure. The new table now displays all academic information in a single view, including: School, Degree, Major, Minor, Honors, Start Date, End Date, Graduate Status, and Transfer information.
Enhanced the Activity table to display: School, Activity, and Active Status.
Added the ability for users to create and manage a custom Honors list. Users can now define the specific honors levels that apply to their alumni population, ensuring the system reflects their institution's recognition standards.
Added an import tool for the Alumni Designation. This will allow users to import data for the Alumni Degrees table and Alumni Activities. On the Alumni Degrees table import, the School ID and Profile ID are required fields. If the profile does not have the Alumni designation, the import will make them one on either import. On the Alumni Degrees import, Major, Honor, and Minor fields are not required, but if added to the import, they must match the corresponding tables. On the Alumni Activities import, the activity name field is not required, but if added to the import, it must match the corresponding tables.
